Make an impact with our Administration team as a Senior Administrative Assistant. This diverse team of professionals directly contributes to the success of the firm by supporting internal and external clients. Responsibilities
- Review, modify and prepare moderately complex templates, letters, reports, PowerPoint presentations, Word documents, Excel workbooks and other correspondence materials; research, compile and summarize information/data
- Support leader(s) through calendar and email management, invoicing and A/R
- Enter, review and maintain client accounts and contact information in the Client Relationship Management (CRM) platform
- Review upcoming deadlines and work requirements with the team; coordinate the logistics and flow of work to specific team members (i.e., documents for review/signature)
- Record minutes at various meetings and distribute or archive them accordingly
- Prepare and submit expense reports
- Coordinate and schedule internal and external meeting and appointment logistics and prepare supporting material
- Coordinate travel arrangements and reservations
- Maintain electronic and paper filing systems
- Contribute to the development of new ideas and approaches to improve work processes
- Work collaboratively with other team members and leadership
- Maintain flexibility to work overtime, as necessary
Skills and Experience
- Post-secondary education in business administration is considered an asset
- 5+ years of increasingly complex administrative responsibilities
- Experience in a professional services environment is considered an asset
- Strong client service focus in dealing with both external and internal clients
- Excellent organizational and time management skills, with the ability to manage multiple tasks simultaneously

Responsabilités
- Passer en revue, modifier et préparer les gabarits, les lettres, les rapports, les présentations PowerPoint, les documents Word, les feuilles de calcul Excel ainsi que tout autre document de correspondance d'une complexité modérée; effectuer des recherches et des compilations de données et en présenter un résumé.
- Aider les leaders à gérer leur calendrier, leurs courriels, la facturation et les débiteurs.
- Vérifier et tenir à jour les comptes de clients et saisir les renseignements des personnes-ressources dans la plateforme consacrée à la gestion des relations clients.
- Revoir avec l'équipe les échéances à venir et les exigences de travail; coordonner les activités et le flux de travail de chaque membre de l'équipe (p. ex., documents à réviser ou nécessitant une signature).
- Rédiger les procès-verbaux de diverses réunions et les distribuer aux personnes qui étaient présentes, ou les archiver.
- Préparer et acheminer les notes de frais.
- Coordonner et planifier les rencontres à l'interne et à l'externe ainsi que les rendez-vous, puis préparer la documentation nécessaire.
- Coordonner les préparatifs de voyage et les réservations.
- Gérer les systèmes de classement électronique et papier.
- Prendre part à l'élaboration de nouvelles idées et méthodes visant à améliorer les procédures de travail.
- Collaborer avec les autres membres de l'équipe et les dirigeants.
- Être disposé à travailler des heures supplémentaires au besoin.
Compétences et expérience
- Formation postsecondaire en administration des affaires, un atout
- Plus de 5 ans d'expérience en administration où le candidat a assumé des tâches de plus en plus complexes
- Expérience dans un service professionnel, un atout
- Sens aigu du service client lors des échanges avec les clients internes et externes
- Excellentes compétences en organisation et en gestion du temps et capacité à gérer plusieurs tâches simultanément
