Toronto, Ontario, Canada Nexus Communications Full time

Lead & manage video production projects to keep clients, and us, organized, on schedule and on budget. Fully remote

Nexus is a full-spectrum communications firm transforming culture and elevating the employee experience through strategy, storytelling, and creative content. We produce videos, digital campaigns, podcasts, e-learning, and multimedia communications that help organizations connect their People with Purpose.

We're looking for highly organized, detail-driven Post Production Coordinators to help keep our video, animation, and podcast projects running smoothly. In this role, you'll act as the operational backbone of our production and post-production workflow—ensuring our teams (and clients) stay organized, on schedule, and on budget.

If you love bringing order to creative chaos, thrive in fast-paced environments, and have a talent for anticipating needs before they arise, you'll be a fantastic fit.

This is a remote, contract-based role (multi-week contracts with potential for ongoing work).

Job Description

As a Post Production Coordinator, you will help shepherd projects from shoot wrap to final delivery. You'll manage timelines, track feedback, organize assets, and support editors to ensure each piece is delivered on strategy and on schedule.

While this is not a video editor position, you must be comfortable inside Adobe Premiere and related tools to:

  • Make minor adjustments or fixes to an edit when needed
  • Assemble selects or test sequences
  • Run exports and prepare deliverables in the correct formats
  • Apply proper versioning, naming conventions, and organizational standards
  • Provide hands-on support to editors when timelines are tight or workloads are high

If you thrive in fast-paced environments, love keeping complex workflows on track, and enjoy being a key support pillar for creative teams — this role is for you.

What You'll Do

Project Oversight and Management

  • Manage post-production schedules, resources, timelines, and delivery milestones across multiple projects.
  • Coordinate seamlessly with Editors, Producers, Creatives, and the Production Manager to keep workflows moving.
  • Gather, organize, and distribute all project assets — footage, transcripts, graphics, VO, music, and supporting files.
  • Prepare project folders, Adobe Premiere project files, and LucidLink directory structures for editors.
  • Track and manage client feedback across multiple review rounds, ensuring clarity, accuracy, and timely implementation.
  • Maintain clear versioning systems, naming conventions, status trackers, and delivery logs for all assets.
  • Support editors directly by jumping into Adobe Premiere when needed to:
    • Assemble rough strings or selects
    • Adjust text elements, captions, or simple graphics
    • Perform basic trims, insertions, and small fixes
    • Export cuts and upload to review platforms
    • Prepare files for audio mix, colour, and final QC

Production & Team Support

  • Work closely with the Production Manager to map, manage, and maintain detailed post-production timelines.
  • Attend internal and client calls to capture notes, clarify next steps, and ensure accurate handoff to post teams.
  • Advise the Production Manager on resourcing needs, potential bottlenecks, risks, and schedule adjustments.
  • Ensure all teams are fully aligned on upcoming milestones, ownership responsibilities, and delivery expectations.
  • Organize and distribute call sheets, shoot details, and media assets as needed following production wrap.

Client Communication & Delivery

  • Deliver work for feedback in structured, timely intervals.
  • Clearly communicate what is needed from the client to keep workflows moving.
  • Prepare and deliver final files in required formats, ensuring accuracy and consistency.
  • Support ongoing status reporting (weekly) on progress, risks, and updates.

What You Bring

Must-Haves

  • 2–4 years of experience in post-production coordination (agency or corporate environment preferred).
  • Strong understanding of video workflows.
  • Working ability in Adobe Premiere (you don't need to be an editor, but you must be comfortable making simple adjustments and exports).
  • Familiarity with , LucidLink, Iconik or similar.
  • Highly organized, process-oriented, and able to manage multiple deadlines simultaneously.
  • Strong communication skills — clear, concise, and proactive.
  • Experience coordinating multiple deliverables, revisions, and stakeholders.
  • Ability to work fully remote with cross-functional teams.
  • Comfortable in MacOS with MS Office (or similar project management tools).
  • Creative problem-solving, attention to detail, and a calm presence under pressure.
  • GTA-based is preferred for occasional on-site support when required.

Nice-to-Haves

  • Experience in short-form documentary, corporate storytelling, or agency environments.
  • Fast internet (1Gb+ preferred for LucidLink workflows).
  • Experience with Illustrator/Photoshop for collaboration with Designers.

Why You'll Love This Role
  • You'll support meaningful, purpose-driven content that impacts workplaces worldwide.
  • You'll collaborate with a creative, supportive team who values clear structure and storytelling.
  • You'll build strong technical and project management skills across multiple content formats.
  • You'll play a key role in keeping complex post workflows running smoothly and efficiently.

To Apply

Please submit:

  1. A short self-shot video sharing your experience and why you believe you'd be a great fit for this role. Please note: applications without this component will not be considered.
  2. Your resume.
  3. Two samples of projects you have supported or contributed to in the corporate or short documentary space (e.g., edited pieces, coordinated workflows, or projects you helped deliver).
