We're looking for our next Renewal Administrator. Could it be you?
Reporting to the Sr. Manager, Mortgage Retention, the Renewal Administrator is responsible for managing and processing all aspects of mortgage renewals, ensuring thorough file audits and compliance with internal policies and regulatory requirements. This role is dedicated to enhancing customer retention and minimizing payout risks for existing borrowers. The Renewal Administrator will maximize revenue opportunities and contribute to overall retention targets while maintaining a strong focus on operational efficiency and best-in-class service delivery.

In this role, responsibilities include but are not limited to:
- Manage and process loan renewals, ensuring all documentation is collected and verified before booking.
- Conduct thorough audits of mortgage files prior to booking for compliance with standards and regulations.
- Initiate proactive outreach to existing mortgage customers to discuss renewal options and encourage retention.
- Build and maintain strong relationships with internal teams, brokers, and third parties.
- Compile and organize all necessary documentation for renewal applications according to established procedures.
- Ensure accurate and secure maintenance of both electronic and paper-based records.
- Adhere to Anti-Money Laundering (AML) and Know Your Client (KYC) procedures throughout the renewal process.
- Identify and report potential compliance issues or violations promptly.
- Monitor and track renewal metrics to assess performance against retention targets.
- Prepare and present regular reports on renewal activities, highlighting successes and areas for improvement.
- Identify opportunities for process enhancements to improve efficiency and customer experience.
- Participate in testing and assessing new system enhancements or tools related to the renewal process.
- Stay informed about market trends, competitor offerings, and changes in regulations impacting renewal strategies.
- Provide insights and recommendations based on market conditions to support business objectives.
- Work closely with the Residential Funding team to ensure timely processing of renewal applications.
- Coordinate with internal departments to ensure necessary support during the renewal process.

- Have a minimum of 2 years experience in customer service within the mortgage industry
- Have experience with residential retention or underwriting is preferred
- Have experience across various areas of residential mortgage administration and/or servicing is an asset
- Have a Post-Secondary Education is preferred
- Demonstrate strong, sound negotiation and sales skills
- Demonstrate interpersonal and relationship building skills
- Demonstrate effective organizational and time management skills
- Have solid written and verbal business communication skills
- Have working knowledge of Google Workspace
- Have sound analytical thinking, planning, prioritization, and execution skills
- Are detail oriented with an acute attention to accuracy
- Are capable of handling multiple tasks and meeting stringent deadlines
- Are tactful, diplomatic and politely persistent
- Are results oriented
- Are self-motivated, confident and capable of working both independently and in a team environment
- Bring a positive, can-do attitude to our organization, using creative solutions to solve problems
- Can establish and build on healthy working relationships with your team and peers
- Work well in a dynamic and fast paced environment with the ability to navigate through organizational change
