Area Of Responsibility
The Grant Administration Officer will provide leadership, expert guidance and strategic advice on the development and implementation of community grant funding programs, policies, and processes. This role will monitor, identify and analyze program funding and provide recommendations on trends, risks and opportunities for the City of Brampton. As the main contact for grant administration and management, the Grant Administration Officer will be responsible to coordinate the Advance Brampton Fund. This position will also develop tools and resources that will strengthen the non-profit sector's ability to be innovative in local service delivery.
- OPERATIONS
- Provides expert guidance, manages, facilitates and leads the implementation of the city's community grant programs.
- Leads and executes the implementation and evaluation of the Advance Brampton Fund and other emerging grant programs.
- Prepares documentation, reports and statistical analysis relating to the City's grant programs.
- Gathers, monitors and analyzes program outcomes and associated performance measures, including: trends, issues, gaps and statistics for short/long term planning and reporting purposes.
- Monitors and evaluates programs and services to assess their impact and to ensure program effectiveness and efficiency.
- Leads/Collaborates with and provides subject matter expertise on projects with internal and external partners; participates in working groups and committees; and liaises with other service managers, community stakeholders and regional/provincial/federal partners as required.
- Provides overall leadership and direction to cross-functional project teams by assigning tasks and managing the performance of these teams to ensure the successful implementation of new initiatives.
- Regularly evaluates other funding programs to ensure Brampton's program reflects best practices and supports the community.
- Leads the development of new tools, measures and enhancements in order to evaluate the success of community grant programs.
- CUSTOMER SERVICE
- Acts as the key contact for all matters related to grant administration and program management, escalating complex issues as necessary.
- Builds and maintains collaborative and strategic relationships with internal and external stakeholders such regional/provincial/federal partners.
- Organizes and directs effective project teams for the successful delivery of projects and initiatives.
- COMMUNICATION
- In partnership with Strategic Communications develops communication, marketing and promotions plans to ensure timely communication with Mayor and Council, internal and external stakeholders.
- Liaises with other service managers, community stakeholders and regional/provincial/federal partners as required.
- Prepares and delivers presentations to various groups, both internal and external to Brampton,
- Prepares presentations and reports that include measurement of progress against set performance measures of grant programs.
- Guides the coordination of learning events which requires collaborating or obtaining consensus with a variety of internal and external resources.
- CORPORATE CONTRIBUTION
- Supports the development of corporate standards and policies for management of grant programs.
- Achieves departmental and corporate objectives by contributing expertise, information and recommendations to strategic plans and progress reviews, including preparing and completing business and action plans.
- Leads and facilitates research and engagement strategies, using internal and external project teams, to support project planning and implementation objectives.
- Maintains knowledge of collective agreements, City policies and practices, legislation, and regulations to assist in the revision of Standard Operating Procedures (SOPs) to ensure stakeholder needs are continually met.
- BUDGET SUPPORT
- Uses effective resource and expense management at all times to meet corporate policies and guidelines.
- Meets financial objectives by forecasting requirements, assists in preparing annual budgets, scheduling expenditures, analyzing variances and initiating corrective actions.
- STAFF LEADERSHIP
- Ensures proper scheduling and assignment of part-time staff and volunteer duties.
- Provides general oversight and guidance to staff in the delivery of projects and programs.
- Responsible for staff training and orientation.
- Recruits, oversees and provides staff performance evaluations.
Education
SELECTION CRITERIA:
- Post-secondary education in Human Services or a related field.
Experience
- Minimum of five years work experience in not-for-profit, human services or policy fields.
- Experience with non-profit funding programs, performance measurement, and evaluation.
Other Skills And Assets
- Strong understanding and knowledge of the non-profit sector, human services programs, , municipal government, provincial government, and community resources and services.
- Demonstrated research and analytical skills with the ability to interpret and synthesize data from a variety of sources in order to develop evidence-informed program and project recommendations.
- Demonstrated ability to manage priorities in a context of competing demands and ensure deadlines are met and objectives advanced.
- Strong business writing skills with demonstrated ability and experience authoring reports, business cases, and information briefs.
- Extensive communication skills, both verbal and written, and a proven ability to present to various audiences, both internal and external to Brampton.
- Strong interpersonal skills for effective liaison with various levels of staff, the public and community agencies in a sensitive and effective manner.
Mandatory Requirements
- Valid driver's license and access to a vehicle.
