The Opportunity
Commence Fence is a fast-growing, premium fencing company built on systems, accountability, and execution. We are looking for a top-tier Operations & Sales Administrator to act as the gatekeeper of our sales pipeline and the backbone of our administrative operations.
This role sits at the intersection of sales qualification, customer communication, scheduling, and bookkeeping. When done well, it increases close rates, protects our sales team's time, and keeps the business financially tight.
This role is not for:
- Order takers
- Passive administrators
- People uncomfortable holding firm boundaries with customers
- Anyone who needs constant supervision
Core Responsibilities1. Lead Management & Sales Qualification (Primary)
You will:
- Answer inbound calls professionally and confidently
- Call CRM leads promptly and consistently
- Pre-qualify prospects using defined criteria (budget, timeline, decision-maker status, intent)
- Identify and filter out tire-kickers
- Schedule decision-ready, high-intent site visits for sales reps
- Protect the sales calendar by ensuring visits are worth attending
- Follow up relentlessly and intelligently on warm leads
Your performance directly affects close rates.
2. Scheduling & CRM Discipline
- Schedule site visits only after qualification
- Maintain accurate CRM records
- Track lead status, follow-ups, and outcomes
- Ensure no qualified lead falls through the cracks
3. Bookkeeping & Financial Admin
You will also:
- Handle invoicing and payment tracking
- Assist with bookkeeping tasks (accuracy matters)
- Ensure customers are billed correctly and on time
- Support clean, organized financial records
4. Customer Follow-Up & Communication
- Follow up with prospects and customers professionally
- Communicate clearly, confidently, and consistently
- Maintain a high-trust, high-standards customer experience

Required Skills & Experience
- Proven experience in:
- Administrative operations
- Customer-facing phone roles
- Sales support or lead qualification
- Bookkeeping or financial administration
- CRM experience (Zoho preferred, but not required)
- Strong written and verbal communication
- High attention to detail and follow-through
Performance Expectations
This is a results-measured role, not a "busy work" role.
Success will be measured by:
- Lead response speed
- Qualification accuracy
- Show-up and close rates on scheduled visits
- CRM cleanliness
- Billing accuracy and timeliness
- Follow-up consistency
