Human Resources Assistant

The purpose of this position is to provide strategic and operational Human Resources and Health & Safety services to the company. DUTIES & RESPONSIBILITIES:
- Assist in the creation of job postings and their dissemination on job boards and other recruitment platforms as instructed by the Human Resources Manager and Chief Human Resource Officer. Participate in job fairs and similar events to represent the organization to potential candidates. Support the execution of reference checks and other administrative tasks related to employment.
- Oversee the maintenance of all recruitment databases and monitor candidate information. Prepare job offers for new employees and ensure that their details are communicated to the payroll department.
- Engage actively in onboarding processes to facilitate the integration of new staff into the organization. Gather all payroll-related information for each pay period, including (student) timesheets, status changes, and new hire details for the Human Resources Manager's review before submission to the finance department.
- Ensure timely enrollment of eligible employees in benefit programs and make necessary updates in response to salary or status changes. Document employee departures appropriately. Relay employee feedback regarding payroll and benefits to the Human Resources Manager. Establish accounts for new personnel and keep job titles and reporting structures current. Calculate prorated accruals for part-time employees. Serve as an alternate representative for the Human Resources Manager on the Health & Safety Committee.
- Maintain a Health & Safety resource library accessible to all staff members. Investigate health and safety topics and assist with campaigns or training initiatives organized by the Human Resources Manager. Promote a culture of safety throughout the organization.
- Input all modifications and updates to policies, procedures, and practices, and revise the human resources policy suite as directed by the Human Resources Manager. Act as the primary contact for human resources inquiries from employees and managers.
- Take notes, draft correspondence, and produce other written materials as requested by the Human Resources Manager. Maintain a well-organized, secure, and efficient filing system for all employee records. Track all electronic communications.
- Establish and uphold a systematic, secure, and efficient filing system for all employee records. Monitor all modifications related to employees. Archive documents in compliance with legal standards and dispose of obsolete materials. Conduct regular assessments of files to remove outdated documents and data. Ensure that all human resources reference materials are organized, up-to-date, and readily accessible. Stay informed about privacy laws concerning personal information.
- Provide advice and support to ensure compliance with legal and regulatory obligations as regards all Health and Safety matters.
- Schedule and coordinates all appointments of the residents in collaboration with Team Leads and forward a formal weekly update of all appointments attended to the directors.
- Additional duties may be assigned as needed to support the team and program operations.
QUALIFICATION:
- Minimum of bachelor's degree in human resource & management or related field
- Minimum of Three (3) years experience in HR management/advisory role, Sound knowledge of employment law and practical application of same, Experience of developing Health and Safety standards, Excellent Excel, and Word skills
- Must possess excellent communication skills, patience, creativity, flexibility, compassion, and sensitivity towards individuals and have a passion working with children.
- Current Emergency First Aid and CPR Certification.
- Crisis Prevention Intervention (CPI) training preferred.
- Valid Class 5 Drivers license and a clean Drivers abstract.
- RCMP Criminal Record Check with Vulnerable and Intervention Record Check.
WORKING CONDITIONS:
- Position entails 40 hours per week.
- Entitled to full coverage of health and dental benefits after completion of probationary period.
- Travel within the region required.
- Intermittent physical activity including walking, standing, sitting, and lifting.
- Smoke-free environment and undergoes regular health and safety inspections to ensure compliance.
- Complete necessary documentation in accordance with our Policies and Procedures, as well as the requirements set forth by the Ministry of Community and Social Services requirements.
