Job Overview

We are seeking a dynamic and highly organized Executive Assistant to join our team and provide exceptional support to senior leadership. This role is vital in ensuring smooth daily operations, managing complex schedules, coordinating projects, and facilitating effective communication across departments. The ideal candidate will be proactive and detail-oriented. This position is an integral part of a fast-paced, professional environment.

  • Knowledge of project coordination principles to assist in tracking deadlines and deliverables across multiple initiatives.
  • Competency in computer literacy with expertise in Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications (Gmail, Docs) and familiarity with DocuSign for electronic signatures.

Responsibilities

  • Providing the Owner with support in response to all client and vendor needs.
  • Organize and coordinate communications, including email screening and drafting correspondence, memos, and other communications.
  • Assist with document preparation and record-keeping. Draft and edit documents, presentations, and reports. Ensure all documentation complies with company policies.
  • Assist with both personal and business tasks as needed.
  • Oversee office duties including filing systems, data entry and maintaining office supplies.
  • Manage and coordinate complex personal and business calendars using tools like Google Workspace, ensuring all appointments, meetings, and deadlines are accurately scheduled and prioritized.
  • Make travel arrangements, reservations, and bookings as needed.
  • Handle multi-line email and phone correspondence and respond to and direct inquiries with professionalism and efficiency.
  • Provide personal support tasks such as online purchases or errands.
  • Support project coordination efforts by preparing materials, and communicating with team members to ensure tasks are completed on time with accuracy and professionalism.
  • Support transcription needs for meetings or interviews when required; ensure clarity and accuracy in all transcribed materials.

Job Types: Full-time, Part-time

Pay: $20.00-$30.00 per hour

Expected hours: 24 – 44 per week
