The Campus Coordinator Assistant plays a key support role in fostering a welcoming, organized, and engaging campus environment. Working closely with the Campus Coordinator, this position assists in the planning and delivery of campus and community events, supports student engagement initiatives, provides administrative and operational support, and helps ensure day to day campus activities run efficiently and smoothly.
Key Responsibilities
- Assist with the planning, coordination, and execution of on campus and off campus events, activities, and initiatives
- Support event logistics including room bookings, floor planning, scheduling, and coordination with internal departments
- Assist with event setup, teardown, booth operations, and on site support to ensure successful event delivery
- Coordinate, schedule, and support student volunteers during campus events and initiatives
- Provide administrative support including data entry, document preparation, printing, filing, and record keeping
- Assist with the preparation of event materials, packages, signage, and supplies
- Perform supply and equipment pickups as required (using personal vehicle)
- Support daily campus operations including inventory checks, shared resources, and general campus readiness
- Communicate professionally with staff, students, and external stakeholders to support campus activities
- Identify and resolve minor issues during events and escalate concerns as appropriate
Qualifications
- Previous experience in event planning, coordination, administrative support, or a related role
- Strong organizational skills with the ability to manage multiple tasks and shifting priorities
- Excellent verbal and written communication skills with a customer service mindset
- Comfortable interacting with students, staff, volunteers, and external partners
- Proficiency with computers and office software, including Microsoft Office (Word, Excel, Outlook)
- Ability to work independently as well as collaboratively in a team environment
- Reliable transportation and ability to transport event materials and supplies as needed
- Physically able to lift, move, and set up event materials and equipment
- Strong attention to detail, problem solving skills, and a proactive approach to supporting campus operations
Flexibility Requirements
- Availability to work evenings, weekends, and extended hours during campus events as required
- Flexibility to adjust schedule to meet the operational needs of campus activities
