Job Summary
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will manage daily administrative operations, provide exceptional customer service, and support various office functions to ensure smooth and efficient workflow. This role requires strong communication skills, proficiency with office software, and the ability to handle multiple tasks in a fast-paced environment.
Duties
- Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
- Handle filing systems, document proofreading, and ensure proper organization of office files and records
- Assist with bookkeeping tasks, including invoicing and basic financial record keeping
- Provide customer support via phone, email, and in person, ensuring excellent phone etiquette and customer service standards
- Support administrative functions such as scheduling appointments, managing calendars, and coordinating meetings
- Assist with medical or dental office tasks if applicable, including patient check-in/out and appointment scheduling
- Maintain office supplies inventory and coordinate procurement as needed
- Support team members with clerical tasks to enhance overall office efficiency
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with QuickBooks or similar bookkeeping software
- Strong data entry skills with high accuracy and attention to detail
- Excellent organizational skills with the ability to prioritize tasks effectively
- Exceptional communication skills, including phone etiquette and customer service experience
- Familiarity with multi-line phone systems and front desk procedures
- Previous clerical or administrative experience in an office setting; medical or dental office experience is a plus
- Ability to proofread documents for accuracy and professionalism
- Strong computer skills with the ability to learn new software quickly
- Experience in handling filing systems, document management, and administrative support tasks

Pay: $40,146.35-$42,536.24 per year
