Role
What You'll Do
As a Logistics Assistant at CoolIT Systems, you'll play a key role in supporting the global flow of materials and products that power our advanced manufacturing operations. You'll assist in coordinating international and domestic shipments, ensure compliance with trade regulations, and help maintain smooth, on-time delivery to and from our facilities, suppliers, and customers worldwide. This is a fully onsite position.
Responsibilities
- Shipping Coordination
- Assist with coordinating international and domestic shipments via air, sea, and land.
- Communicate with freight forwarders, customs brokers, and transportation providers to resolve basic shipping or documentation issues.
- Track shipments and provide regular updates to internal teams and external stakeholders.
- Documentation & Compliance
- Prepare and organize shipping and customs documents, including commercial invoices, packing lists, bills of lading, and USMCA certificates.
- Ensure accuracy and completeness of all shipment records and customs information.
- Maintain compliance with international shipping standards, Incoterms, and data confidentiality policies.
- Data & Systems Management
- Enter, update, and maintain accurate data in ERP systems and logistics databases.
- Assist in generating logistics reports and maintaining organized digital and physical files for audit readiness.
- Departmental Support
- Support general administrative and clerical functions within the logistics department.
- Collaborate closely with internal teams to support ongoing supply chain operations and process improvements.
Who You Are
Basic Qualifications
- High school diploma or equivalent; post-secondary education in Logistics, Business, or a related field is an asset.
- 1–2 years of experience in a logistics, supply chain, or administrative support role.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Excellent attention to detail and a high level of accuracy in data entry.
- Strong organizational and time management skills.
- Ability to work independently and collaboratively in a fast-paced environment.
- Legally authorized to work in Canada without company sponsorship.
Preferred Qualifications
- Experience with NetSuite (ERP system) is an asset.
- Understanding of HTS codes, classification processes, and trade agreements (e.g., USMCA).
- Experience with bonded warehousing and freight consolidation.
