Role Description

The detail oriented Administrative Assistant will act as the first point of contact for customers. The incumbent will greet walk-in clients, take payments, and provide information to ensure an excellent customer experience. You will also manage inbound phone calls, answer inquiries, and perform a variety of administrative tasks to support our team.

Key Responsibilities

  • Serve as the primary point of contact for customers, ensuring a welcoming experience for walk-ins.
  • Process payments and issue receipts for in-person transactions.
  • Manage Accounts Receivable functions, including generating and sending invoices, processing incoming payments, reconciling customer accounts, and following up on outstanding balances in a professional manner.
  • Answer and direct phone calls, providing information or connecting callers with the appropriate team member.
  • Perform general administrative tasks, including data entry, filing, and record-keeping.
  • Assist with scheduling appointments and meetings as needed.
  • Support the team with additional administrative duties as required.
  • Other duties as assigned by management.

  • Strong communication and interpersonal skills
  • High level of organization and attention to detail
  • Ability to handle payments accurately and securely
  • Previous experience in customer service or administrative roles is an asset
  • Proficient in basic office software (ie.Microsoft Office Suite)
  • Ability to handle customer inquiries professionally and effectively
