Role ResponsibilitiesDo you enjoy working in a fast-paced environment with new challenges every day? If so, an Executive Support position with the Government of Alberta might be a great fit for you.
The Ministry of Assisted Living and Social Services is looking for 3 dynamic individuals to support the Assistant Deputy Minister Office in the following divisions:
- Employment and Financial Services
- Strategic Services
- ALA Strategic Services
Your main responsibilities will include:
- Managing administrative operations within an executive office. This support will ensure effective and efficient operation of the office, including coordinating information flow and schedules to ensure issues are addressed in a timely manner.
- Initiate, assign, monitor and track action request responses ensuring due dates are met.
- Review correspondence for accuracy, grammar and proper formatting.
- Act as a liaison to ensure accurate and timely information is provided to the executive office.
- Manage business deliverables within changing timelines and with the ability to adapt, prioritize, and coordinate those activities.
- Build and maintain strong supportive relationships with internal GoA stakeholders and external contacts.
- Records management.
- Support the assigned area with general administrative functions such as requests AITA (formerly FOIP) requests and human resource management issues.
- Deliver financial administration services as primary contact for the ADMO.
- Ensure financial administration is executed in accordance with department financial policies, procedures and processes.
- Initiate general office supply purchases. Perform market research for major branch purchases (equipment, etc.).
- Liaise with Facility Services to ensure facility requests for service are initiated and carried out, accommodation requirements are met (telecommunications, lighting, etc.) and office equipment is kept in good working order.
- Cross train other administrative support staff within the division to provide cover off.
- Lead small projects.
To be successful as the Executive Support, you will be required to demonstrate:
- A high-level of independent action and thought.
- Excellent verbal and written communication skills, including the ability to communicate effectively with offices of government executives and key stakeholders.
- Strong professionalism, relationship building and diplomacy.
- The ability to multitask and organize conflicting priorities with competing deadlines.
- Political acumen, including a solid understanding on how to navigate complex situations in large-scale organizations including skills in conflict resolution and collaborative negotiation.
- The ability to manage complex information flows, assignments and projects in tight coinciding timelines.
- Excellent coordination, planning and prioritization skills to ensure critical operational tasks are completed efficiently and accurately.
- Troubleshooting skills that will enable you to solve issues as they arise.

High School Diploma and four years progressively responsible related experience; or equivalent as described below.
Equivalency - Directly related education or experience considered on the basis of:
- 1 years of education for 1 year of experience; or
- 1 year of experience for 1 year education
Requirements:
- Previous experience providing support to executives in a large/complex organization.
Assets:
- Experience with overall coordination of calendars and scheduling of senior executives.
- Experience with bring forward tracking systems.
- Experience with coordinating travel arrangements.
- Experience with financial administration and budgets.
- Experience with Microsoft Office Suite: Word (editing and formatting), Outlook/Teams (scheduling meetings), PowerPoint (presentation development), Excel (data entry).
- Experience with records management.
