Allient London is a manufacturer of highly engineered products, primarily supplying the defense industry. We look to provide Design Solutions to some of the more complex challenges our customers face.

The Front Desk Administrator is responsible for creating a positive first impression for visitors and providing administrative support to ensure efficient daily operations. This role manages reception duties, maintains office organization, and supports various departments with clerical tasks. The ideal candidate is professional, detail-oriented, and able to multitask in a fast-paced environment.

DUTIES & RESPONSIBILITIES

Reception & Guest Services

Greet and welcome visitors in a professional and friendly manner

Answer, screen, and route incoming calls and emails

Provide general information and assistance to clients, employees, and the public

Maintain a clean, organized, and welcoming front desk area

Administrative & Clerical Support

Schedule appointments, meetings, and conference rooms

Assist with preparing documents, reports, memos, and correspondence

Perform data entry, filing, scanning, and recordkeeping

Manage calendars and support scheduling needs for staff or management

Office Coordination

Monitor office supplies and place orders when needed

Coordinate with vendors, maintenance teams, and service providers

Handle incoming and outgoing mail, packages, and deliveries

Assist with maintaining office equipment (printers, phones, etc.)

Recordkeeping & Documentation

Maintain visitor logs and ensure compliance with security protocols

Update internal databases, spreadsheets, and department records

Organize and store documents in both physical and electronic formats

Track office expenses and assist with invoice processing when required

Communication & Department Support

Serve as liaison between staff, management, and external partners

Relay messages and distribute information accurately and promptly

Support HR with onboarding tasks such as preparing new hire packets and setting up

workstations

Assist in planning meetings, company events, or training sessions

Become a Controlled Goods Designated Official and perform security assessments

Meeting Preparation

Have coffee and water available

Order lunches for meetings when needed

MINIMUM QUALIFICATIONS

College diploma or equivalent with a minimum of 2 years experience as an office administrator; or an equivalent combination of education and related experience (i.e. high school diploma plus 4 years experience.)

Previous administrative experience

Excellent computer skills in Microsoft Office suite

Ability to foster and encourage a healthy working environment for all

Customer service centric approach to working with internal and external clients

Must be proactive and willing to take initiative

Strong multi-tasking skills with the ability to prioritize and organize multiple concurrent tasks

Must be a Canadian Citizen or have a Canadian P.R.

Ability to work with a diverse team

Must be able to successfully pass a controlled goods security assessment

Ability to manage multiple priorities in a fast-paced, compliance-driven environment.
