Aitken Robertson LLP is hiring an Intake Specialist/Court Agent/Receptionist for our Oshawa office, and this role is best described as a Jack-or-Jill-of-All-Skills. No two days look exactly the same, and we hope that appeals to you.

What This Role Is Really About

At its core, this position is about people. You are often the first voice and first impression for individuals contacting our firm, many of whom are stressed, overwhelmed, or unsure where to turn.

Your primary responsibilities include:

  • Answering phone and online inquiries in real time
  • Assisting with client intake and initial information gathering
  • Scheduling consultations for lawyers and paralegals
  • Providing excellent customer service to existing clients
  • General reception duties and administrative support
  • Assisting lawyers and staff wherever help is needed (yes, flexibility matters)
  • Attending virtual/video remand court when required

In short: you help keep the office running smoothly, clients informed, and the team supported.

Skills & Experience

Experience in a law office is an asset, but the right attitude goes a long way.

Familiarity with the following is preferred:

  • Microsoft Word, Excel
  • Google Workspace
  • Zoom
  • Law practice management software (Clio, PracticePanther, Amicus, Abacus)

Experience as a legal assistant or in a criminal law environment is preferred but not strictly required for the right candidate.

Work Structure

  • This is not a virtual role
  • Support and supervision are primarily remote
  • Must be a self-starter with strong organizational skills

Compensation & Schedule

  • $22–$25 per hour, depending on experience
  • 37.5 hours per week (shift starts at 730 or 8am, to get an early start on the day)
  • Monday to Friday
  • Overtime may be available
  • Bonus and overtime pay available
