Finance & HR Support Specialist

About the Job:

Vista Radio has an immediate opening for a full-time Finance & HR Support Specialist. This is an on-site position, with the successful candidate based in any of our British Columbia offices located in Courtenay, Kelowna, Penticton, or Vernon.

What you'll do

Finance / Accounting

  • Provide administrative and transactional support across the Finance department

Support day-to-day finance activities including accounts payable, accounts receivable, payroll administration support, and general accounting tasks

  • Process routine financial transactions and data entry accurately and on time
  • Assist with invoice processing, billing support, payment application, and reconciliations
  • Provide administrative support related to payroll, including timesheet coordination and data preparation
  • Prepare reports and data summaries, using strong Excel skills on a regular basis
  • Monitor shared Finance inboxes and respond to routine inquiries, escalating issues as needed
  • Maintain organized financial records and documentation
  • Provide backup coverage for Finance team members during vacations, leaves, or peak periods
  • Other finance-related administrative duties as assigned

Human Resources

  • Assist with job requisitions and approvals; create and manage job postings in HRIS and external job boards
  • Prepare offer letters and new hire documentation using approved templates
  • Coordinate onboarding tasks and checklists; hire new employees in HRIS and ensure all information is accurate
  • Coordinate offboarding tasks and process terminations in HRIS
  • Process benefits enrollments, changes, and terminations, submitting documentation to Manulife
  • Support disability-related documentation and follow-up requirements
  • Update employee information in HRIS and run HR reports
  • Maintain personnel files in accordance with retention and documentation standards
  • Support data gathering for regulatory reporting
  • Manage the shared HR inbox, triaging inquiries and redirecting complex matters
  • Prepare routine HR correspondence and provide general administrative support
  • Other duties as assigned by management

What you Bring

  • Minimum two (2) years of experience in administrative, finance, or HR support roles within a fast-paced environment
  • Experience working with accounting systems (required); familiarity with Microsoft Dynamics 365 Business Central is an asset
  • Comfort working with systems and learning new software; Dayforce / HRIS experience is an asset
  • Strong attention to detail, accuracy, and organizational skills
  • Excellent communication, customer service, and interpersonal skills
  • Ability to manage multiple priorities and meet deadlines
  • Ability to handle confidential information with professionalism and discretion
  • High level of initiative, reliability, and accountability
  • Legally eligible to work in Canada

Schedule

Monday to Friday, 40 hours per week, with some flexibility based on individual and operational needs
