Overview

We are seeking an energetic and organized Front Desk Receptionist to join our dynamic team. In this vital role, you will be the first point of contact for visitors and clients, managing front desk operations with professionalism and enthusiasm. Your multitasking skills and friendly demeanor will ensure smooth office flow, excellent customer service, and efficient administrative support.

Responsibilities

  • Greet visitors, clients, and vendors warmly while maintaining a professional presence at the front desk
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately
  • Handle incoming correspondence, emails, and mail distribution with accuracy and promptness
  • Maintain appointment calendars, schedule meetings, and coordinate calendar management for staff as needed
  • Perform data entry tasks using Microsoft Office, Google Workspace, and other office management software
  • Organize filing systems, update records, and ensure all documents are accurate through proofreading and meticulous attention to detail

Qualifications

  • Proven experience in office administration or receptionist roles with strong organizational skills
  • Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Strong communication skills with professional phone etiquette
  • Familiarity with multi-line phone systems and data entry processes
  • Previous experience in customer service or customer support roles demonstrating patience and professionalism
  • Ability to handle clerical tasks such as filing, proofreading, and calendar management efficiently
  • Knowledge of office management procedures; experience with bookkeeping or QuickBooks is advantageous
  • Construction / Manufacturing receptionist experience is beneficial but not required
