We're looking for a proactive and tech-savvy Receptionist to be the friendly face of our company while keeping our operations running smoothly behind the scenes. The Receptionist will be responsible for managing front desk operations, handling client communications, scheduling field appointments, and maintaining the company's daily calendar. This role is ideal for someone who thrives in a fast-paced environment, is detail-oriented, and enjoys using technology to streamline administrative tasks.

Key Responsibilities

  • Greet visitors, clients, and vendors with professionalism and warmth.
  • Manage inbound calls, emails, and messages; route inquiries to the appropriate departments.
  • Schedule and confirm field appointments for sales representatives, service teams, and deliveries.
  • Maintain and update company calendars, ensuring appointments are efficiently organized.
  • Coordinate logistics for client visits, deliveries, and internal meetings.
  • Support basic administrative functions, such as data entry, filing, and picture cataloging.
  • Assist with order tracking and provide timely updates to clients and internal teams.
  • Collaborate with the sales and operations teams to ensure smooth day-to-day business operations.
  • Maintain the front office area to ensure a clean and welcoming environment.

Key Qualifications

  • 1–3 years of experience in a receptionist, administrative, or scheduling role (wholesale or B2B experience preferred).
  • Strong computer literacy, proficiency in Google, Microsoft, or scheduling software.
  • Excellent communication and organizational skills.
  • Ability to manage multiple priorities and meet deadlines with minimal supervision.
  • Customer-oriented mindset with a professional, approachable demeanor.
  • Experience coordinating service or field teams is an asset.
