Job Description:

Payband: This position is paid at Payband J.

Hours: Monday to Friday, 8:30 a.m. to 4:30 p.m. Averaging of hours applies according to the Support Staff Collective Agreement (Appendix C).   

Position Summary: Under the general supervision of the Manager, Cooperative Education and Entrepreneurial Services, and in accordance with Fanshawe College Co-operative Education Policy and Procedures, the incumbent guides and coordinates the creation and promotion of co-operative education programs; develops and delivers mandatory employment preparation workshops and individual employment-related guidance for students; identifies, facilitates and evaluates Co-operative Education work terms and ensures they are aligned with program learning outcomes. The incumbent will develop and maintain positive working relationships with students, academic partners and employers, ensuring that high quality employment related services are provided, and any remedial actions needed are completed. The incumbent reviews student eligibility criteria for work terms and supports the student in completing their co-op work term.

Duties and Responsibilities:

Cooperative Education Facilitation

  • Prepares students for their transition from the College to the honors degree or non-degree co-op work term(s) and/or to permanent employment.

  • Advises, provides direction to and supports coop students through one on one meetings, group sessions, and the design and delivery of Co-op workshops

  • Assesses student eligibility for co-op work terms or approved alternative in accordance with the co-op policy.

  • Explains to students their roles and responsibilities in working in partnership with the co-op consultant to find their own co-op.

  • Monitors co-op students and their supervisors at their place of employment during first work terms with the exception of locations outside Southern Ontario that are handled virtually.

  • Evaluates acceptability and effectiveness of coop work terms or approved alternative by assessing quality and alignment to vocational learning outcomes.

  • Mediates between employers and co-op students when necessary.

  • Guides co-op students with respect to performance, as required.

  • Prepares and presents formal presentations to inform coop students and employers in relation to the Colleges co-op resources, specifically on the policies and procedures needed for the work term.

  • Informs students on work term requirements and assists them to leverage their knowledge and experience when entering the job market.

  • Works closely with academics and Academic Advisors to determine if students are academically eligible for co-op work terms or approved alternative.

  • Facilitates requests for materials, scheduling and equipment for coop workshops and events with the CSR, Co-op as required 

Job Postings

  • Supports the work term recruitment process by facilitating job postings, liaising with employers to secure an understanding of position details and advising co-op students of potential vacancies.

  • Assesses job posting or student self-discovered jobs to ensure an alignment with academic program learning outcomes before approving.

  • Coordinate, confirm, and follow up with interviews between students and employers to get feedback on the application process and the interview process

Reporting and Record Maintenance

  • Maintains co-op student records to ensure they are accurate and up-to-date.

  • Provides documentation to Registrar and Financial Aid as required to confirm student's enrollment in Co-op program for OSAP, bursary and records purposes, as well as International office to verify visa and health insurance is current for international students.

  • Completes verification letters of coop enrollment letters for International students as applicable. Reviews records for work terms and recommends students to graduate with a co-op endorsement on their diploma or degree if work terms is successfully completed.

  • Aggregates work term statistics and evaluations for submission to program coordinator after each work program work term

Employer Relationships

  • Promotes co-operative education and recruits co-op employers.

  • Visits and assists employers to evaluate present and future human resources requirements and to generate appropriate co-op opportunities.

  • Explains Co-op tax credit process and benefits to potential employers and issues verification letters for employers as applicable.

  • As requested, promotes other employment and entrepreneurial opportunities to potential employers.

  • Participates in trade shows and external professional organizations that may be a source of employer recruitment for Co-operative education.

  • Coordinate exchange of students on international work terms with government agencies and international educational institutions and employers, in conjunction with International office.

  • Builds excellent educational and integrated learning relationships with other educational partners such as, universities, other Colleges, secondary school boards, and other forms of educational learning.

  • Creates networking events to support meet-ups with students and co-op employers.

  • In conjunction with Career Service Consultant, facilitates on-campus events to promote co-op opportunities to students and potential employers.

Faculty Relationships

  • In partnership with academic schools, organizes and recruits employers for college hosted, program specific networking events.

  • Assists Associate Deans, program coordinators and faculty members in researching, planning, developing and implementing co-operative education and provides advice and feedback on new industry trends and potential employers to support new program development.

  • Attends program advisory committee, program evaluation committee and departmental meetings, when requested.

  • In conjunction with faculty, assess PLAR'S for co-op work terms, assess and support Entrepreneurial co-ops.

  • Participates in program information and orientation sessions, to promote co-op to students.

QUALIFICATIONS

  • Post-secondary 3-year diploma/degree in Human Resources, Business (Marketing), Career Development Practitioner or an equivalent discipline

  • Minimum 5 years' experience working with college students in areas such as, career counselling, development of co-op work terms, etc. and working with employers to identify future and present opportunities

  • An equivalent combination of education and experience may be considered

  • Experience teaching/facilitating is an asset

  • Specific experience working with students and faculty preferred

  • Knowledge of the local, Canadian and global labour market preferred

  • Knowledge of Co-operative Education and work-integrated learning preferred

  • In groups and/or individually, working with persons seeking employment in their chosen field: career advising, job development preferred

  • Working directly with employers, providing advice and giving service related to their human resources needs preferred

  • Demonstrated ability to mediate situations and generate positive remedial actions if necessary

  • Demonstrated outstanding interpersonal skills, as well as an ability to work and make decisions independently

  • Demonstrated exceptional organizational, communication skills and attention to detail

  • Data management skills preferred

  • Some travel may be required
