Position Summary
The HR Coordinator plays a key role in supporting day-to-day HR operations and ensuring the smooth execution of HR processes across MDLand's North American and global teams. This role provides administrative and operational support in recruitment, onboarding, offboarding, employee relations, payroll coordination, and HR systems management. The ideal candidate is detail-oriented, organized, and passionate about building an engaging and efficient workplace.
Key Responsibilities
1. Recruitment & Onboarding
- Support the end-to-end recruitment process, including posting job ads, screening resumes, scheduling interviews, and coordinating with hiring managers.
- Prepare offer letters, employment contracts, and onboarding documentation.
- Facilitate smooth onboarding and offboarding processes (equipment setup, accounts, orientations, exit procedures).
2. HR Administration
- Maintain and update employee records in HRIS (e.g., Rippling, ADP).
- Track employee leave, attendance, and benefits enrollment.
- Assist with preparation of HR letters, verification requests, and internal communications.
- Ensure compliance with employment laws and internal policies (Canada, U.S., and other applicable jurisdictions).
3. Payroll & Benefits Coordination
- Liaise with payroll providers to ensure timely and accurate payroll processing.
- Verify employee changes (new hires, terminations, salary updates) and coordinate benefits administration.
- Support RRSP/DPSP or 401(k) enrollment tracking and documentation.
4. Employee Engagement & Support
- Assist in planning HR programs, training, and team events.
- Support Employee of the Month, anniversary, and recognition initiatives.
- Help conduct employee surveys and summarize results for management review.
5. Reporting & Process Improvement
- Prepare HR metrics and reports (turnover, headcount, attendance).
- Identify opportunities to streamline HR workflows and enhance employee experience.
- Assist with HR audits, compliance documentation, and process documentation.
Qualifications
- Diploma or Bachelor's degree in Human Resources, Business Administration, or related field.
- 1–3 years of HR or administrative experience (internship or full-time).
- Familiarity with HRIS systems (Rippling, ADP, or similar).
- Strong attention to detail and organizational skills.
- Excellent written and verbal communication skills.
- Knowledge of Canadian or U.S. employment standards (Ontario ESA, FLSA, etc.) is an asset.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) experience with Microsoft Teams preferred.
