Executive Assistant to CEO

Job Summary
We are seeking a highly organized and proactive Executive Assistant to support the CEO of our client in managing daily operations and ensuring seamless communication across the organization. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with various office software. This role offers an opportunity to work closely with executive leadership in a dynamic environment, providing critical support to facilitate efficient decision-making and operational flow.
Responsibilities
- Manage and maintain the CEO's calendar using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements.
- Handle incoming calls via multi-line phone systems with professional phone etiquette, directing inquiries appropriately.
- Prepare, proofread, and edit correspondence, reports, and presentations to ensure accuracy and professionalism.
- Perform data entry, filing, and document management tasks using Microsoft Office Suite and DocuSign for electronic signatures.
- Coordinate with other departments on administrative projects, ensuring timely completion of tasks.
- Maintain confidentiality of sensitive information at all times.
Qualifications
- Proven experience in an administrative or clerical role, preferably supporting executive leadership.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint), and familiarity with DocuSign.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Experience with multi-line phone systems is preferred.
- Exceptional organizational skills combined with attention to detail and accuracy.
- Ability to handle multiple priorities in a fast-paced environment while maintaining professionalism.
Job Type: Full-time
