Key Responsibilities

Enabling objectives

  • Master accounting modules (GL/AR/AP) of IQMS and develop working knowledge of other modules (PO/Manufacturing/System Setup, etc.),

  • Set up finance and accounting modules where required (financial statements, KPI's, YE Budget, etc.) to optimize speed, accuracy and efficiency of report generation and data availability as a key tool in support business optimization

  • Timely fiscal month-end reporting (Financials statements, account reconciliations, KPI's, Headcount, etc.)

  • Maintain financial records of two low volume holding companies in QuickBooks Online

  • Develop working knowledge of our business, customers and technologies.

  • Primary contact for all insurance and banking relationships.

  • Coordinate with external IT contractors to maintain IT system functionalities where required.

On-going business

  • Oversee AP, AR, bi-weekly Payroll approval, Gov't remittances including payroll withholding taxes, EHT, WSIB, HST and RITC and corporate tax.

  • Track / report monthly sales

  • Set-up and maintain Fixed Asset ledger, track additions/disposals, with monthly Depreciation expense, maintain Capital Asset Req. forms.

  • Set-up and maintain Std Cost Database – Annual Cost roll after physical inventory, and adhoc for new item's created.

  • Bank reconciliation – weekly updated, and month-end closed off

  • Set-up and maintain physical inventory for production materials

  • Cash flow forecast, Treasury functions, & FX Hedging where required

  • Work with engineering + operations to establish project budgets, set-up and maintain actual tooling and project ledger (Automation/Tooling, etc.).

Monthly Reporting

  • Preparation of monthly Financial statements

  • Sales, Inventory, Headcount, AR, AP, AP Clearing reports, etc.

  • Variance reporting: identification, prioritization and resolution of problem areas

  • Develop and maintain a system for reporting of KPI's (key operating indices) relating to finance and operations for communication to all levels in the organization.

  • Review and provide input on all contracts and long-term agreements.

  • Ensure compliance throughout the organization to our financial standards

  • Sales Rolling forecast (where required) & review bi-weekly sales forecast changes w/ Ops team

  • Assist where appropriate as a key member of the management team in the identification, prioritization and management of continuous improvement activities in support of improved business performance

Periodic

  • Fiscal Yearend Financial Review & Taxes (SR&ED, Bonus accrual, Dividends)

  • Annual Budget creation w/ Operations / Engineering & review w/ President

  • Annual Physical inventory count. Assist with Materials team to identify key variances (QTY & $ value)

  • Shareholder Account / Dividend approval & processing

  • Annual T4's review & approval w/ HR Coordinator.

  • Annual SR&ED Tracking and coordination of claim with outside consulting resource and submission

  • Update and maintain financial projections as required to reflect new business and market conditions.

  • Quarterly dividend payments and HST remittances (Monthly for Adventec) and Quarterly for holding company

  • Review Routings, Bill of Materials and item master setup for all products for annual Budget

  • Review existing contracts and go to market where appropriate (Scrap, Business Insurance, Banking, Group Benefits, Facility Maintenance, etc.)

  • Keep apprised of Government Grants that may be available (FEDEV, O-AMP, Workshare, etc.). Investigate if applicable to Adventec.

Other

  • Manage & motivate Admin Assistant & HR Coordinator. Daily check-ins, goal setting / performance appraisals as required.

  • Working collaboratively with our operations and engineering team, provide a positive shop floor presence to assist in the training and development of our teams understanding and awareness of the financial impacts of activities.

  • Assist in compiling / calculation of ROI and other information-enabling solid, data driven decisions on investment opportunities and continuous improvement activity and priority (eg: Solar Panel project).

  • Assist w/ a more robust DLTA (production efficiency) data collection system & work with Operations team to establish existing (or non-existing) report requirements within IQMS.

  • Set-up and maintain tooling sub-ledgers (Automation & Deferred Revenue reconciliation). All closed projects recorded at year-end.

  • Establish formal procedure for reconciliation of "budget to actual" on all customer funded tooling projects with Director of Engineering, and establish timelines once project begins and "ends" (eg SOP) with appropriate parties.

  • Development of standard machine and departmental overheads

  • Cash flow projections where required based upon Budget/Forecasted results & need.

  • Working with engineering, establish and maintain central sales forecast and commercial data at time of business award and provide review periodically to the President.

  • Work with engineering & materials teams to develop and recommend to the President strategies to mitigate currency exchange and / or commodity price fluctuations (USD, Copper, Gold, etc.)

  • Adhoc as requested by President / Management team

Prerequisites

  • Bachelor's degree in Accounting, Finance, or Business Administration (Master's preferred).
  • CPA designation strongly preferred; CMA or CIA are valuable assets.
  • 5–10 years of progressive accounting or finance experience, including leadership roles.
  • Proficient with ERP/accounting software (e.g., SAP, Oracle, QuickBooks) and advanced Excel.
  • Excellent financial analysis, problem-solving, and attention to detail.
  • Proven ability to manage teams, delegate tasks, and maintain compliance.
  • Strong verbal and written skills for presenting financial insights and reports.
