The Opportunity:
The Privacy Specialist reports to the Chief Legal Officer and Privacy Officer and will be responsible for new and existing privacy, compliance and risk programs and initiatives. These efforts will include working with internal stakeholders (up to C-level) and external vendors and expert advisors including legal counsel and external government agencies.
A Day in the Life (What you will do here):
Subject Matter Expertise & Strategic Advisory:
- Advises senior leadership and the Data and AI Enablement Committee on complex privacy, health, and data use matters.
- Supports and collaborates with the Senior Legal and Privacy Counsel on enterprise-wide privacy initiatives.
Privacy Program Leadership:
- Leads Sentrex's privacy program, including the investigation, documentation, reporting, and resolution of privacy breaches or incidents.
- Conducts post-incident analysis following privacy breaches or incidents, documents lessons learned, and implements continuous improvement processes to strengthen the privacy program and prevent recurrence.
- Oversees internal privacy assessments and audits to ensure ongoing compliance and risk mitigation.
- Conducts internal privacy assessments and audits on an annual basis and as determined by risk-based methodologies, ensuring that the frequency and approach are aligned with organizational needs and regulatory requirements.
- Serves as the primary liaison with regulatory bodies on privacy-related matters.
Policy Development & Training
- Develops and maintains comprehensive privacy and compliance policies and procedures aligned with evolving legal and regulatory standards.
- Designs and delivers engaging training programs to ensure staff awareness and adherence to privacy obligations.
- Coordinates with Human Resources and other departments to ensure privacy and compliance training is tailored to specific roles and is reviewed and updated on a regular basis.
- Ensures policy communications are current, accessible, and effectively disseminated across the organization.
Privacy Impact Assessments (PIAs):
- Leads the review and execution of PIAs for new products, services, and technologies.
- Partners with legal, IT, and clinical teams to assess privacy risks and implement mitigation strategies.
- Proactively identifies emerging privacy risks related to new technologies, including artificial intelligence and machine learning, and develops mitigation strategies in collaboration with IT and legal teams.
Regulatory Compliance and Monitoring:
- Monitors and interprets new and evolving health and privacy legislation impacting Sentrex's operations.
- Leads the development and implementation of proactive compliance measures.
- Benchmarks the privacy and compliance program against industry best practices and standards, and recommends improvements to enhance program effectiveness.
- Ensures timely updates to policies, procedures, and practices in response to legislative changes.
- Maintains a privacy risk register and ensures it is regularly updated in response to new threats, organizational changes, or legislative developments.
Documentation and Records Management:
- Maintains robust privacy and compliance documentation to support audit readiness and regulatory reviews.
- Supports business continuity planning as it relates to privacy and compliance, including participation in disaster recovery exercises and incident response planning to ensure organizational resilience.
- Ensures documentation practices meet internal and external standards for accuracy and completeness.
Regulatory Compliance
- Leads the resolution of regulatory complaints and escalations in collaboration with the Privacy Officer, including managing the escalation process, conducting thorough investigations, and reporting outcomes and recommendations to senior leadership.
AI Enablement
- Provides expert guidance on AI use cases and implementations to ensure compliance with legal, ethical, and industry standards.
- Supports the governance of data and AI use at Sentrex through active participation in the Data and AI Enablement Committee.
Monitors AI-related regulatory developments and ensures the organization's AI governance framework is reviewed and updated as necessary to maintain compliance and best practices.

What you need to ensure you are set up for success:
- Minimum 5 years of experience in a privacy, compliance, or regulatory role, preferably in a healthcare or health technology setting.
- Education in law or healthcare would be considered an asset.
- Demonstrated leadership in privacy program management and regulatory advisory.
- Strong understanding of Canadian privacy laws and healthcare regulations across provinces and territories.
- Exceptional judgment, communication, analytical, and project management skills.
- IAPP certification is an asset.
- Ability to solve problems and analyze complex issues, distil them into clear insights and deliver concise, business-oriented advice to cross-functional teams.
- Ability to build trusted relationships and communicate effectively with external and internal stakeholders.
- An independent working style combined with the ability to thrive in a fast-paced and detail-oriented environment while managing multiple deadlines and priorities.
- Skill in influencing, negotiating and advocating persuasively and effectively.
- Comfort with ambiguity and interpreting the law in evolving areas.
- A blend of curiosity, pragmatism, efficiency and the desire to serve as a trusted partner throughout Sentrex.

- The anticipated base salary hiring range for this role is 85K to 100K annually. The final base salary will be determined based on relevant experience, skills, and internal equity.
