Niagara Student Transportation Services

Niagara Student Transportation Services (NSTS) is a consortium between the District School Board of Niagara and the Niagara Catholic District School Board responsible for planning and managing safe, effective student transportation across the region. NSTS is seeking an Office Manager to work as a collaborative member of the student transportation management team.

The Office Manager is a key member of the NSTS team, providing direct support to the Executive Director and management staff. This role ensures the smooth and efficient functioning of the NSTS office, while overseeing a wide range of administrative, organizational, and financial responsibilities. The successful candidate will handle sensitive matters with discretion, coordinate projects and events, and contribute to the operational and strategic goals of the organization in partnership with colleagues and external stakeholders.

KEY RESPONSIBILITIES

  • Provide administrative support to the Executive Director and management team, including scheduling, correspondence, report preparation, and stakeholder communications.
  • Manage day-to-day office operations and support staff coordination, ensuring effective scheduling, record keeping, and timely responses to inquiries.
  • Support governance and compliance requirements, including record retention, policy and procedure documentation, legal matters and financial reporting.
  • Coordinate communication materials for internal and external stakeholders, including campaigns, reports, memos, and various other platforms.
  • Assist with financial processes, including purchasing, invoicing, account reconciliations, and general ledger entries.
  • Coordinate meetings, professional development, and special events for staff, partners, and external stakeholders.
  • Support grant applications and reporting requirements on behalf of the consortium and its partners.
  • Conduct research and synthesize information on student transportation matters, programs, and special projects.
  • Provide HR-related support such as tracking staff time off, assisting onboarding processes, and maintaining confidential personnel files.
  • Build and maintain strong relationships with municipal, regional, and community partners as part of a team-based approach.
  • Exercise discretion, sound judgment, and problem-solving abilities in handling sensitive or urgent matters.
  • Other related duties as assigned.

EDUCATION, EXPERIENCE AND QUALIFICATIONS:

  • Post-Secondary diploma/degree in Business/Management and/or Office Administration or equivalent experience in a related field.
  • Minimum 3–5 years of progressive administrative experience, including management level support, ideally in a school board, municipal, or public- sector environment.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines as part of a team environment.
  • Excellent written and verbal communication skills, with proven ability to prepare professional reports, correspondence, and presentations.
  • Strong proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams, OneDrive) and familiarity with financial and student information systems.
  • Practical experience with bookkeeping, invoice processing, and records management.
  • Demonstrated initiative, independence, discretion, and sound judgment while working collaboratively.
  • Valid Ontario driver's license and access to a reliable vehicle.
  • Flexibility to work outside regular business hours when required.

Salary range:$79,030 – $92,378. and includes a competitive benefits plan through a provincial benefits trust plan (extended health, dental, life insurance, AD&D), and enrolment in the OMERS pension plan. This is a 12-month full-time position (35 hours per week) and is part of the Board's union-exempt Administrative Management Group.
