PURPOSE:
As the Project Manager, you will lead and take ownership for multiple software development projects from initiation till closure. Your responsibilities include defining project objectives, creating schedules, allocating appropriate resources, managing budgets, and ensuring that the project is completed within the defined scope and timeline while meeting quality standards. You will also facilitate communication among team members, stakeholders, and clients, identify and mitigate risks, and adapt plans as needed to keep the project on track. Additionally, you may be responsible for evaluating project performance, documenting lessons learned, and providing reports to internal and external stakeholders. To be successful in this role you require to possess strong communication, organization, interpersonal and problem-solving skills.
EXPECTED OUTCOMES AND DELIVERABLES
Development of Detailed Project Plan
- Collaborate with the Solution Architect and Business Analyst to review client/partner business requirements as per the approved Statement of Work (SOW) to identify reusable components and create detailed project plan
- Develop a Project charter that defines the project scope, objectives, deliverables, stakeholders, and timelines
- Ensure appropriate resources including personnel, budget and materials are allocated to meet the project objectives
- Create a comprehensive project plan by working together with the Solution Architect and Business Analyst/Functional Consultant that outlines the tasks, activities, milestones, timeline, assumptions and dependencies required to complete the project. This will serve as your project baseline
Scope, Budget, and Schedule Management
- Manage the project scope, ensuring that projects are delivered within the agreed-upon scope as per the signed SOW and that any changes to scope are properly articulated with concerned stakeholders with impact on budget and timeline in a timely manner
- Collaborate with internal teams to evaluate proposed scope changes, weighing the impact on project schedule and budget against client expectations
- Drive the project team to propose innovative solutions for the scope change that can reduce impact on budget and timeline. Socialize these proposals with client/partner
- Lead discussions on changes to scope/budget/timeline with client/partner in partnership with Solution Architect/Business Analyst as appropriate
- Draft Change Order and ensure the change discussed in the Change Order is approved by the client/partner before adjusting the project baseline.
- Create a realistic project schedule with the Solution Architect and Business Analyst considering the tasks, dependencies, resource availability
Stakeholder, Communication Management and Reporting
- Develop a communication plan that adheres to Evenica PMO and outlines how project information will be shared, internal and external stakeholder list, who will be responsible for communication tasks and the frequency and format of communication
- Coordinate and communicate with cross-functional teams to ensure alignment and collaboration on project deliverables, timelines, assumptions and dependencies
- Provide regular project status updates and budget-to-actual reports to stakeholders and senior management in Evenica
- Facilitate weekly project status meetings to provide the status of completed work, work planned for upcoming weeks, call out Risks, Action Items, Issues, and Dependencies affecting project scope, budget and timeline
- Coordinate and schedule regular Sprint release meetings during the Development phase
- Gather client/partner feedback and evaluate the next steps with internal project team to derive next steps
- Ensure any open communication trails are addressed and closed effectively between Evenica and client/partner teams
- Review timesheet data of your respective project team members in a timely manner to support Finance team with invoicing
- Ensure milestones completions are reported promptly to support the Finance team with invoicing
- Support Evenica Finance team to ensure accurate revenue recognition
Risk and Quality Management
- Proactively identify and manage project risks and issues affecting scope, timeline, and budget
- Work together with internal and external stakeholders to arrive at mitigation strategies as needed to minimize the impact on scope, timeline, and budget of the project.
- Maintain risk register to ensure mitigation plans are tracked to completion
- Ensure project deliverables are thoroughly tested and reviewed to meet Evenica Quality standards and specifications before it is delivered to the client/partner.
Monitoring, and Controlling Progress
- Build partnership with the Solution Architect, to lead and manage project deliverables, meeting outcomes and remove blockers to ensure consistent progress
- Monitor project progress and track key milestones and deliverables
- Throughout the project lifecycle, actively manage and monitor the following:
- Project Budget consumption to ensure it is on track. Take appropriate corrective actions if the project budget is over/under utilized
- Project Schedule to ensure it is on track. Take appropriate corrective actions if schedule is lagging/leading in time.
- Identify the necessary resources required to meet the project objectives and make requests ahead of schedule for approval.
- Assign appropriate roles and responsibilities to project team members. Manage their utilization throughout the project lifecycle. This also involves releasing resources if a project is on hold.
- Ensure all project requirements and technical design documents are up to date with the new approved scope changes, if any.
- Involve your Program Manager, and/or Senior Project Managers for internal and external escalations, as necessary.
Project Transition to Customer Care and Closure
- Oversee the closure of the project by completing all final deliverables, obtaining sign-off from external stakeholders. Conduct post-project retrospective to review and analyse lessons learnt and areas of improvement
- Coordinate with client/partner and Evenica Customer Care team to initiate post implementation support plan. Ensure all relevant Functional requirement documentation, technical design documents, diagrams are shared along with proper training sessions conducted internally for a seamless transition and handover of a stable system to the Customer Care team
Involvement in the Organization
- Foster a positive team environment and provide leadership and support to project team members of your respective project.
- Identify and propose appropriate areas of improvement for project team members to ensure independence and improve their quality of work with their managers.
- Serve as the designated mentor and supervisor of assigned junior and intermediate project team members.
- Participate in Performance Management, Training, and Process Improvement initiatives as required.
- Adhere to the Evenica Project Management methodology and processes along with instructions shared by your supervisor on exceptions or on a case-to-case basis.

TECHNICAL SKILLS
- Budget and Timesheet management software experience
- Microsoft Office Suite (MS Project experience is a nice to have)
- Ticketing tools such as Jira and Microsoft Azure DevOps
- Confluence
- Teams, and OneDrive
- Previous experience with a Project Management Software is a nice to have.
EDUCATION AND EXPERIENCE
- Strong understanding of project management principles, tools, and techniques.
- Excellent leadership, organizational, communication, and interpersonal skills.
- Understanding of software and system development life cycle is an asset.
- Proven experience as a Project Manager, with a minimum of 5 years in project management roles, preferably in IT or in Software development industry
- Ability to manage multiple projects simultaneously and prioritize tasks effectively for yourself and the team members.
- PMP certification or relevant industry certifications are a plus.
- Experience in Hybrid or Agile/Scrum methodologies is preferred.
- Required to pursue and stay up to date with training modules, courses, and certifications as prescribed by Evenica.
- Relevant university or college degree in a related area is an asset.
WORKING CONDITIONS & TRAVEL
- Typically required to work Monday to Friday from 9am to 5pm
- Some overtime outside of the standard hours outlined above may be required.
- Hybrid expectations to complete work in office and at home
- Some travel (including international travel) may be required.
