Job Summary

We are seeking a detail-oriented and organized Office Assistant to join our team. The ideal candidate will provide essential administrative support across various departments, ensuring smooth office operations. This role involves handling clerical tasks, managing communication channels, and assisting with data entry and record keeping. The Office Assistant plays a vital role in maintaining an efficient and professional office environment, supporting customer service efforts, and contributing to overall organizational success.

Duties

  • Manage front desk responsibilities, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
  • Perform data entry using Microsoft Office, Google Workspace, and QuickBooks to maintain accurate records
  • Assist with filing, document proofreading, and organization of office files for easy retrieval
  • Support bookkeeping tasks and basic financial record keeping as needed
  • Provide customer support through phone etiquette and in-person interactions, addressing inquiries efficiently
  • Schedule appointments, coordinate meetings, and manage calendars for staff members
  • Handle administrative tasks such as copying, scanning, and mailing correspondence
  • Support medical or dental office operations if applicable, including patient check-in and appointment scheduling

Experience

  • Previous office experience preferred, especially in clerical or administrative roles
  • Familiarity with QuickBooks, Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and multi-line phone systems is highly desirable
  • Experience in customer service or front desk roles demonstrating excellent phone etiquette and organizational skills
  • Knowledge of data entry procedures, filing systems, proofreading techniques, and basic bookkeeping practices is advantageous
  • Prior experience in medical or dental offices is a plus but not required; relevant training will be provided for specialized tasks
