Job Summary
The School of Engineering Academic Services team provides comprehensive support for over 2000 undergraduate and graduate students to ensure they meet their full potential
throughout their academic career.
As a member of the Engineering Academic Services team, this position provides student service support to Undergraduate programs in the School of Engineering. Working closely with the Associate Director, Undergraduate Students and various Committee chairs, this role supports and makes recommendations for academic processes, ensuring fairness and integrity.
Organizational Status
This position reports to the Program Manager, Engineering Academic Services at the School of Engineering and works under the general supervision of the Associate Director, Undergraduate Students. Collaboration with other units will be required.
Work Performed
Project Management
Manages multiple projects within the School of Engineering, aligning priorities with organizational needs and available resources.
Develops project plans, tracks progress, and provides regular updates to stakeholders.
Engages in consultation and analysis to clarify project goals and desired outcomes, working collaboratively with students, faculty, and staff.
Designs and applies tools to assess and evaluate the impact and effectiveness of School initiatives.
Leads projects focused on reviewing and improving processes, frameworks, and systems, including the development of policies, procedures, and best practice documentation.
Oversees the work of consultants and others involved in related project activities.
Quality Control
Ensures integrity of student academic records by overseeing audits in Workday, including year-level adjustments, cohort assignments, and prerequisite validations, to support accurate program progression and institutional reporting.
Makes decisions or recommendations about dropping students from classes or making changes to academic histories and communicates decisions to students.
Makes recommendations on curricular or other changes that would streamline program delivery.
Identifies students who may require additional support when coping with a challenging academic judgement and engages directly to provide appropriate resources.
Student Services
Responds promptly and directly to student emails to the
inbox and the
inbox, triaging appropriately, providing accurate advice, and bringing in appropriate resources for situations of varying complexity.
Leads the graduation review process in collaboration with the Academic and Career Advisor, and other stakeholders, applying program requirements and academic policies to assess student eligibility, resolve discrepancies, and maintain accurate Academic Progress records in Workday.
Coordinates the application and monitoring of Minor programs, including working with other units to assess applications and provide recommendations to evaluate applicants and communicate decisions.
Coordinates Go Global international student exchanges for engineering students, working with Go Global on inbound student reviews and decisions, course planning for prospective and current Go Global students, and evaluations for returning students.
Consequence of Error/Judgement
Requires a thorough knowledge of the policies and procedures of the University and the Faculty of Applied Science and the School of Engineering. Misinterpretation of the University or Faculty policies and/or providing incomplete or inaccurate information to students can adversely impact UBC's academic discipline processes and students' ability to achieve their academic and professional goals.
This position exercises considerable judgement and must demonstrate tact and discretion. Consequence of error is high and poor judgment and/ or lack of cross-cultural sensitivity would compromise the integrity of the Engineering programs as well as jeopardize the reputation of the Faculty of Applied Science and the University of British Columbia. Not considering the intercultural aspects of communication with and commitment to students can adversely affect the incumbent's ability to function in a culturally diverse environment and may impact the recruitment and retention of students.
Supervision Received
This position works independently under the general direction of the Associate Director, Undergraduate Students and reports to the Program Manager, Engineering Academic Services.

May be responsible for hiring and supervising student employees and volunteers.
Minimum Qualifications
Undergraduate degree in a relevant discipline.
Minimum of one to two years of related experience or the equivalent combination of education and experience.
Willingness to respect diverse perspectives, including perspectives in conflict with one's own.
Demonstrates a commitment to enhancing one's own awareness, knowledge, and skills related to equity, diversity, and inclusion.
Preferred Qualifications
Knowledge of the University's and Faculty's undergraduate programs, student services and student life preferred.
Experience working with students in distress.
Experience with Workday or similar systems.
Relevant experience working with faculty, staff and students in a post-secondary institution, especially in delivering decisions.
Familiarity with the educational system both at secondary and post-secondary levels would be an asset.
Experience in caseload management would be an asset.
Tactful and articulate when dealing with faculty, staff, and students in a multi-cultural context.
Understanding of the Indigenous culture and barriers to education would be an asset.
Exceptional oral and written communication, time management, and organizational skills.
Ability to work effectively independently and in a team environment.
Ability to make thoughtful, informed, and sound decisions.
This position's primary work location will be at the Okanagan Campus.
