Job Description
As a Production Coordinator at Ubi Montréal, you will support the filming team by managing resources, materials, technical and logistical needs, as well as communication and follow-up tasks.

What you'll do

  • Support shoot managers during the preparation and execution of shoots
  • Book external resources (PAs, cameramen, medical staff, etc.)
  • Place catering orders
  • Handle various purchases/orders as needed for shoots (props, equipment)
  • Manage billing for external resources in MTL and TO, including PO requests, invoice tracking, and liaising with vendors and accounting
  • Set up new vendors in the system (NDAs, contracts)
  • Welcome production teams, talent, catering staff, and external crews during shoots
  • Manage attendance sheets for talent (for the Casting team) and external crews
  • Act as the primary contact for external teams (excluding talent)
  • Prepare and oversee clothing scan sessions
  • Maintain inventory of operational equipment for the Mocap team (markers, suits, gloves, adhesive/Velcro tape, etc.)
  • Set up and monitor floor plans during relocations, integrations, and workspace reorganizations
  • Coordinate, order, and track various requests for the MTL and TO teams (catering, posters, gifts, team-building activities, etc.)
  • Act as point of contact for other teams (Logistics, IT, Events, etc.)
  • Perform all other related tasks
Qualifications

What you bring to the team

  • Strong organizational and multitasking skills
  • Ability to manage priorities in a fast-paced environment
  • Excellent communication and interpersonal skills
  • Experience in coordination or production support is an asset
  • Knowledge of billing processes and vendor management is a plus
