Bilingual Payroll Specialist

Job Purpose:

Under moderate supervision, responsible for full-cycle payroll processing for employees across multi-state locations. This includes timely distribution and accurate calculation of payroll checks, taxes, and other withholdings. The role ensures quality payroll service by collaborating with all functional areas of the company to gather information for payroll production, responding to and resolving employee inquiries, and delivering exceptional customer service.

Responsibilities

  • Accurately and timely process weekly, biweekly, hourly, and semi-monthly payrolls.
  • Prepare and balance payroll runs in compliance with regulatory requirements.
  • Perform audits using available reporting tools in accordance with departmental guidelines.
  • Assist managers in resolving payroll issues.
  • Process payrolls for various scheduled pay dates, including detailed reconciliation and balancing.
  • Collect and summarize pay information, identifying and correcting discrepancies.
  • Respond to court orders and interrogatories; act as liaison between law offices and courts.
  • Audit payroll data entered by team members, investigate questionable entries, and take corrective action.
  • Enter and audit payroll adjustments, manual checks, and refunds; maintain logs and spreadsheets for reconciliation.
  • Handle daily banking submissions and maintain payroll reporting logs.
  • Respond promptly to verifications, unemployment audits, and special requests.
  • Cross-train on all departmental activities to provide coverage when needed.
  • Establish and maintain positive working relationships with employees, management, co-workers, and external agencies.
  • Assist with additional responsibilities and special projects as assigned.

Qualifications

  • Minimum 3 years of payroll experience or equivalent business experience.
  • Bilingual proficiency in French and English.
  • Familiarity with payroll and accounting systems such as Oracle, PeopleSoft, JD Edwards, ADP, Ceridian, or similar.
  • Solid experience with full-cycle in-house payroll processing required; union payroll experience preferred.
