Overview

We are seeking a detail-oriented and organized Administrative Assistant to join our team. This role is essential in supporting daily office operations, ensuring smooth communication, and maintaining efficient administrative workflows. The ideal candidate will possess strong computer skills, excellent organizational abilities, and a professional demeanor to handle various clerical tasks with accuracy and efficiency. Experience with Microsoft Office Suite is required. This position offers an opportunity to contribute to a dynamic office environment while developing valuable administrative skills.

Responsibilities

  • Managing and overseeing Dac's main general e-mailbox, as per examples (but not limited to) listed below.
  • Cross checking Vendor order invoices with corresponding system Purchase Orders (investigating and correcting/challenging if and where necessary).
  • Redirecting A/R remittance advices for EFT payments to receivables at H/O.
  • Customer account queries/questions (emails) – assist and answer accordingly, liaise with A/R at H/O as necessary.
  • Assist with admin related preparation/action associated with occasional in-house projects.
  • Weekly Petty cash reconciliation and reporting.
  • Collation and submission of daily customer C/Card payments/receipt transactions.
  • Basic SAP [ERP] system admin tasks such as creating new customer records as/when requested by Team members. (full in house SAP training will be provided).
  • Forward A/P related emails to H/O, including vendor statements, payment hasteners etc.. Monitoring supplier's overdue payment hasteners (email), forwarding and escalating to H/O payables to conclusion..
  • Monitoring and report submission of monthly staff VISA card reconciliation.
  • Assistance with month-end closure processes.
  • Maintain confidentiality of sensitive information in accordance with company policiesSkills

Requirements

  • Minimum of 3+ years of relevant experience in a similar position.
  • Strong knowledge of the MS Office suite particularly Outlook, Excel,
  • [Hands-on inhouse training is provided for SAP ERP system/software].
  • Confident working within Windows 11 OS.
  • Excellent organizational skills with the ability to prioritize tasks effectively

Soft Skills

  • Strong written and verbal communication skills.
  • Strong organizational skills and diligence.
  • Team spirit and collaboration and ability to interact effectively with team members from other departments including head office teams.

This position provides an excellent opportunity for individuals seeking to develop their administrative expertise within a professional setting. The successful candidate will play a vital role in supporting office functions while fostering positive interactions with clients, patients, or visitors.

A fixed hours of work schedule can be flexible and pre-agreed to a certain degree, subject to needs and further discussion at interview. Upon agreement, the schedule will remain fixed for each week.

Job Types: Part-time, Permanent

Pay: $19.00-$21.00 per hour
