Our team is seeking a Compliance Coordinator (3 Month Contract). Reporting to the Accounting Manager, the Compliance Coordinator provides guidance and support to the team playing a key role in the review, development, implementation, and management of all compliance programs and the quality management plan.

Responsibilities

Position Summary: The Compliance Coordinator, is responsible for ensuring corporate, client and regulatory compliance. The Compliance Coordinator provides guidance and support to the team playing a key role in the review, development, implementation, and management of all compliance programs. 

Key Responsibilities & Accountabilities: The following is not intended to be a comprehensive list of the essential functions of the Compliance Coordinator, but rather a general description of some of the requirements necessary to carry out the duties and responsibilities of this position. The Compliance Coordinator must be able to perform the following tasks, among others:

  • Work effectively and professionally with the team to review and analyze in-force contracts, departmental policies and procedures to ensure compliance and identify potential compliance issues
  • Evaluate business activities to assess compliance risk
  • Review current practices, implement process improvements when/where needed, facilitate the implementation and management of process improvements
  • Collaborate with the management team to ensure awareness of compliance requirements and issues
  • Develop internal controls, policies and other relevant documents designed to ensure that all regulatory and compliance needs are met
  • Facilitate document reviews and approvals
  • Organize information by studying, analyzing, interpreting, and classifying data
  • maintain documentation and shared folders
  • Conduct search and comparison enquiries
  • Coordinate and track all compliance related activities
  • Provide detailed written report and presentations by collecting, analyzing, and summarizing information
  • Act as the Company's representative in supporting the Client's reporting programs
  • Establish personal rapport with potential and actual clients and other persons in a position to understand service requirements to promote relations
  • Provide daily/monthly updates regarding the team compliance performance
  • Proactively monitor data, systems and processes for compliance to policies and laws
  • Proactively audit processes, practices and documents to identify weaknesses
  • Support preparation for client audits, audits by regulatory authorities and internal quality audits
  • Participate in projects as authorized by the General Manager
  • Provide a wide range support to various departmental managers and/or supervisors to facilitate the efficient operation of the organization (e.g. prepare agendas, make travel arrangements, coordinates meetings, interviews, special events and other functions as required)
  • Updates databases, performs data entry, filing and retrieval of documents, sends reports as required
  • Assists with periodic cycle counts of supplies, communicates and documents anomalies found
  • Assists in recruitment, training staff members, performing inspections and assessments
  • Supports other departments (e.g. Maintenance, Operations, Human Resources, Health & Safety) with various duties including special projects and providing back-up when required
  • Respects and maintains the confidentiality of all employee records, business records, client and customer information, data and other information not otherwise available to the public
  • Maintains a professional demeanor and appearance a providing consistent example to staff
  • Maintains a safe work area and a focus on safety to reduce the opportunity for injury to self or other employees
  • Demonstrates regular and consistent attendance and punctuality in compliance with the company attendance policy
  • All other duties as assigned

Working Conditions: The Compliance Coordinator works primarily in an office environment and may be called upon after hours from time-to-time by office employees or managers, in an emergency, or other reasons as required. The job requires the following physical activities: sitting, standing, walking, pushing, pulling, loading and unloading, typing, filing, answering phones.

Qualifications

Qualifications:

  • Post-secondary degree or diploma in business administration, contract administration or a related field or equivalent approved combination of education and experience
  • Minimum of three (3) years of experience in contract review, quality control, corporate policy and procedure auditing, processing due diligence documents for various entities e.g. individuals, corporate & institutions
  • Highly proficient in Microsoft Office software applications with expertise in Word, Excel, Power Point and Outlook 
  • Excellent customer service and communication skills and experience
  • Be able to pass and maintain a clear Criminal Background Check

Knowledge, Skills, & Abilities:

  • Knowledge of general compliance practices, principles and procedures
  • Knowledge of and demonstrated ability in corporate core competencies including customer service, communication, teamwork, initiative/self-management and accountability, and flexibility/adaptability
  • Computer literacy utilizing MS Office software applications, as well as proficiency in spreadsheet applications
  • Mathematical aptitude and analytical skills applicable to various financial, payroll and accounting functions
  • Ability to work outside regular business hours as required
  • Analytical with a strong attention to detail
  • Ability to work in a fast-paced multi-tasking environment
  • Highly organized with the ability to handle multiple tasks simultaneously while exceeding established goals and objectives
  • Ability to work independently and objectively
