Job Description

The Administrative Assistant with Central Manitoba Railway is responsible for providing daily administrative expertise to the operations of the company. Working in a fast-paced, customer-oriented environment, the Administrative Assistant is a dynamic self-starter with strong organizational, communication, and interpersonal skills. This is a one (1) year term position.

Roles & Responsibilities

Office Management and Support

  • General administrative duties (answering phones, mail pick-up and sorting, data entry, filing, uniform and water services, travel arrangements, supports visitors)
  • Maintains office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for office supplies and technology.
  • Ensures good operation of equipment office equipment, completing or arranging preventative maintenance requirements, scheduling repairs, maintaining office equipment inventories.
  • Manages all customer and employee enquiries in a courteous and expedient manner and acts as a resource person to employees for information regarding services provided through the company
  • Establishes and maintains all files and records specific to the business unit.
  • Finalizes customer invoices, uploads and updates a variety of customer systems / portals with final invoicing
  • Maintains records associated with the delivery of CEMR's services including supplier files, customer accounts,
  • Initiate, approve and receive requisitions / PO's and cheque requests in CANDO workplace procurement system.
  • Compiles purchase orders and invoices for mailing to Corporate Services
  • Prepares timesheets, general correspondence, general operating guidelines, policies, reports, tables, and publications as required by the business unit including researching and compiling historic, legal or other information and data required in the preparation of reports and correspondence

Skills, Knowledge, & Abilities

  • Demonstrates initiative to independently plan, organize, and prioritize workload taking into consideration conflicting deadlines and multiple unrelated projects in a constantly changing environment. Contributes to team effort by accomplishing related results as required.
  • Demonstrates effective oral and written communication with the general public, employees, and external organizations
  • Skilled in the use of computer equipment, operating systems, word processing, spreadsheet and database software with the ability to troubleshoot for other users
  • Demonstrated information gathering skills used to find and identify essential information
  • Ability to exercise discretion and good judgement in providing information to internal or external customers in a courteous and tactful manner with regard to sensitive or confidential issues
  • Possess a valid drivers license

Education & Experience

  • Grade 12, G.E.D., or Mature High School Diploma preferred.
  • Experience working in a busy office environment focused on customer service and contract services is an asset
  • Post-secondary certification in office or business administration is preferred.

Experience dealing and handling confidential information.
