Position Summary

The Logistics & Parts Coordinator is responsible for managing day-to-day logistics, parts handling, and warehouse coordination activities for Allied Industrial Dynamics Corp. This role ensures timely movement of goods, accurate inventory control, and efficient parts support for service, manufacturing, and field operations. The position acts as the hands-on lead for daily shipping, receiving, and inventory tasks, and serves as a backup to the Logistics & Inside Sales Controller when required.

Key Duties & Responsibilities

  • Coordinate daily shipping and receiving of parts, materials, and equipment.
  • Prepare and process shipping documentation, packing slips, and waybills.
  • Inspect incoming materials for damage or discrepancies and document findings.
  • Maintain organized inventory locations, labeling, and tracking in the ERP system.
  • Issue and receive parts for jobs, service orders, and manufacturing builds.
  • Support purchasing activities by coordinating with suppliers and tracking deliveries.
  • Manage courier and freight arrangements for both domestic and international shipments.
  • Work closely with service and operations teams to ensure accurate part availability and delivery.
  • Maintain records for warranty parts, return materials, and non-conformance reports.
  • Assist with cycle counts, stock reconciliations, and physical inventory audits.
  • Support logistics documentation, including customs paperwork and cross-border shipments.
  • Serve as a backup to the Logistics & Inside Sales Controller during absences, assisting with parts quotations, order entry, and inventory reporting.
  • Uphold safety, cleanliness, and organization within the warehouse and shipping areas.

Department Interactions

The Logistics & Parts Coordinator works closely with the Logistics & Inside Sales Controller, Operations, Service, Engineering, and Accounting departments to ensure material accuracy and timely delivery. Coordination with Vendors, Freight Providers, and Customers is required for smooth logistics operations and parts support.

Qualifications & Experience

  • Minimum 3–5 years of experience in logistics, shipping/receiving, or inventory coordination.
  • Experience with ERP or inventory management systems (Odoo, QuickBooks, SAP, etc.).
  • Knowledge of domestic and international shipping documentation and procedures.
  • Strong organizational and multitasking skills with attention to detail.
  • Basic understanding of industrial or mechanical parts preferred.
  • Excellent communication skills and ability to coordinate with multiple departments.
  • Valid driver's license and ability to operate a forklift or lift truck (training can be provided).
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
