Client Care Coordinator

Job Overview
We are seeking a dedicated and detail-oriented Customer Care Coordinator to join our healthcare team. In this role, you will serve as the primary point of contact for patients, ensuring a seamless experience from appointment scheduling to follow-up. The ideal candidate will possess strong communication skills, familiarity with Jane software, and experience working in mental healthcare settings. This position offers an opportunity to contribute to patient satisfaction and support efficient office operations healthcare environment.
Duties
- Manage patient appointments, confirmations, and rescheduling via phone and electronic systems
- Assist patients with inquiries regarding services, billing, and insurance processes
- Assist therapists with patient-related tasks
- Maintain accurate and up-to-date electronic medical records (EMRs) in compliance with privacy regulations, primarily on our Jane platform
- Coordinate communication between patients and therapists to ensure timely care delivery
- Support administrative tasks such as filing, data entry, and document management
- Collaborate with the Clinic Director as needed
- Ensure patient confidentiality and adhere to HIPAA guidelines at all times
Requirements
- Ability to communicate in French is required
- Ability to work independently is considered a strong asset. Training and ongoing support will be provided. However, the successful candidate must be comfortable making informed decisions and managing responsibilities independently
- Prior experience in a mental healthcare setting is preferred
- Knowledge of medical terminology and familiarity with Jane are highly preferred
- Knowledge of psychological and/or psychoeducational assessments is considered an asset
- Strong organizational skills with attention to detail
- Excellent communication skills, both verbal and written
- Office experience demonstrating proficiency with standard office equipment and software applications
- Ability to multitask efficiently and openness to learn
- Professional demeanor with a compassionate approach to patient interactions
Job Types: Full-time, Part-time
Pay: $17.60-$19.00 per hour
Expected hours: 25 – 30 per week
