Role Description
The
Process Documentation Specialist
will develop, update, and maintain Olive Tree Build's SOPs, process documentation, and policy manuals. You will work closely with management, project teams, and field staff to document existing procedures, identify inefficiencies, and apply lean principles to improve our internal systems. This is a hands-on role ideal for someone who loves clarity, structure, and building operational efficiency from the ground up.
Key Responsibilities
SOP Development & Documentation
- Plan, develop, write, and edit Standard Operating Procedures (SOPs), safe job procedures, safe work practices, and user manuals across all departments.
- Ensure all documentation is clear, accurate, compliant, and aligned with Olive Tree standards.
- Maintain version control and update department policy manuals to ensure accuracy and regulatory compliance.
- Review SOPs for completeness, accuracy, formatting consistency, and grammar within the electronic document management system.
Process Optimization & Continuous Improvement
- Develop, implement, and optimize internal processes using continuous improvement and lean manufacturing principles.
- Support research, design, modification, and testing of operational methods and workflows to improve efficiency and consistency.
- Identify opportunities to streamline systems across departments (sales, estimating, project management, site operations, safety, accounting).
- Contribute to the culture of continuous improvement and safety within the organization.
Cross-Functional Collaboration
- Liaise with management, project teams, and site personnel to fully understand existing processes, products, and operational requirements.
- Translate technical or field instructions into clear, step-by-step documentation that anyone on the team can follow.
- Support the creation of digital training content, including slide decks, onboarding modules, toolbox talks, and short training videos.
Technology & Systems
- Maintain and organize files using Google Workspace (Docs, Sheets, Slides, Drive).
- Support the integration of SOPs with operational tools such as Procore, Salesforce, and internal drive structures.
- Build simple digital workflows and forms as required.
Qualifications
Required
- Strong writing and documentation skills
- Experience developing SOPs or structured technical documentation
- Familiarity with lean principles or continuous improvement methodologies
- Proficient in Google Workspace
- Excellent organization, attention to detail, and formatting skills
- Ability to work independently and meet deadlines
Preferred
- Green Belt Lean Six Sigma certification
- Experience with process mapping and workflow design
- Exposure to construction, manufacturing, operations, or safety documentation
- Experience leading or contributing to cross-departmental projects
- Basic understanding of COR, safety documentation, or regulated environments
