The Opportunity:

Our client, a well-known public accounting firm, is looking for a
Senior Administrative Assistant
to join their team in
Windsor, Ontario
. The Senior Administrative Assistant is responsible for providing high-level administrative support to partners, managers, and staff of the firm, while also ensuring smooth office operations across the U.S. tax division.

What You'll Be Responsible For:

  • Creating and formatting professional correspondence, proposals, engagement letters, and reports for clients
  • Managing and organizing digital and paper filing systems for client files and firm documents
  • Responding to phone calls, emails, and client questions in a timely and professional manner
  • Compiling and distributing client tax packages, financial statements, and audit materials
  • Arranging client meetings and coordinating logistics for both remote and in-person appointments
  • Facilitating onboarding for new clients by preparing engagement documents and updating the CRM database
  • Ensuring all documentation meets firm standards for retention and confidentiality protocols
  • Overseeing electronic signature workflows and tracking the completion of client documents
  • Monitoring adherence to compliance requirements throughout client engagements
  • Facilitating workflow coordination among tax preparers, reviewers, and support staff to meet deadlines
  • Monitoring U.S. tax return progress and delivering weekly performance updates to partners
  • Overseeing client document collection processes, verifying completeness and accuracy

The Ideal Candidate:

  • Post-secondary degree or diploma in Business, Administration, Accounting, or other related fields.
  • 5+ years of administrative support experience, with preference given to candidates from public accounting firms or professional services organizations.
  • Proficiency in Microsoft Office Suite and electronic document management platforms.
  • Demonstrated ability to organize, prioritize, and manage multiple tasks effectively in high-pressure settings.
  • Strong time management capabilities with keen attention to detail.
  • Effective written and verbal communication skills with a professional demeanour.

Complimentary Experience:

  • Experience with or knowledge of U.S. tax filing procedures and deadline requirements is considered an advantage
