OVERVIEW

Financial Decisions Inc. is seeking a highly organized and detail-oriented Financial Administrator to join our financial planning team in Sudbury. This full-time, in-office position supports our advisors and clients by managing critical administrative and financial processes with precision, professionalism, and care.

CORE RESPONSIBILITIES

Administrative and Technical Support

  • Maintain and update client demographic and financial data in internal systems
  • Create and manage reports, statements, and financial analysis documents
  • Demonstrate advanced proficiency in Microsoft Word, Excel, PowerPoint, and online research tools
  • Learn and use specialized tax and financial planning software
  • Prepare, scan, and organize both digital and physical client documentation
  • Draft and manage professional correspondence and communication with clients

Client Management and Coordination

  • Provide professional, confidential, and friendly client service at all times
  • Support advisors with meeting preparation, including data gathering and report compilation
  • Liaise with external partners such as accountants, legal advisors, and financial institutions
  • Manage scheduling, meeting logistics, and follow-up communications

Tax and Planning Support

  • Assist with tax return preparation and document verification
  • Compile comprehensive client planning reports and personalized workbooks
  • Manage electronic and physical filing systems to ensure accuracy and compliance
  • Track client deliverables and maintain detailed records of all activities

QUALIFICATIONS

  • Post-secondary education in Finance, Business Administration, Accounting, or a related field preferred
  • Strong proficiency in Microsoft Office Suite and digital document management
  • Proven ability to handle multiple priorities while maintaining accuracy and confidentiality
  • Excellent written and verbal communication skills
  • Eagerness to learn and develop within a professional financial planning environment
