Job Summary
We are seeking a highly organized and proactive Senior Administrative Officer to oversee administrative operations within our organization. The ideal candidate will possess strong leadership and communication skills, with extensive experience in office management, project coordination, and database administration. This role requires bilingual proficiency in English and French, along with advanced computer skills across various Microsoft Office applications. The Senior Administrative Officer will play a key role in ensuring efficient records management, procurement processes, and effective support to senior management.
Responsibilities
- Manage daily administrative functions, including filing, records management, and document processing
- Lead and coordinate projects using project management tools such as Microsoft Project and SharePoint
- Oversee procurement activities, including vendor negotiations and purchasing procedures
- Prepare professional presentations and reports utilizing Microsoft PowerPoint, Word, Excel, and Access
- Maintain and update databases to ensure data accuracy and integrity
- Provide exceptional customer service to internal teams and external stakeholders
- Supervise administrative staff, providing guidance on organizational procedures and workflow optimization
- Develop and implement office policies to improve efficiency and compliance
- Manage schedules, meetings, and correspondence for senior leadership
- Facilitate communication across departments through effective written and verbal communication skills
- Support analysis of operational data to inform decision-making processes
Requirements
- Proven experience in administrative roles with demonstrated leadership capabilities
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Microsoft Access, SharePoint, Windows operating systems, and Microsoft Project
- Strong analysis skills with the ability to interpret complex data sets and generate insights
- Excellent organizational skills with a keen eye for detail and time management
- Bilingual proficiency in English and French is required
- Exceptional written and verbal communication skills in both languages
- Experience in records management, negotiation, procurement, and database administration
- Ability to manage multiple priorities effectively under tight deadlines
- Demonstrated problem-solving abilities with strong negotiation skills
- Previous experience in project management or related fields is preferred
- Strong computer literacy with familiarity with various databases and office software applications
