Position Summary
Chimo is seeking a full-time, on-site Human Resources Assistant who will provide essential support to the Executive Director and staff in managing the organization's human resources functions. The Human Resources Assistant (HRA) will serve as Chimo's primary HR support, contributing to a culture of care, compliance, and collaboration across the organization.
The ideal candidate is an early-to-mid-career HR professional who is detail-oriented, people-centred, and passionate about organizational well-being. The HRA will assist with all aspects of the employee lifecycle, including recruitment, onboarding, employee engagement, policy support, and training coordination, while maintaining accurate HR records and ensuring compliance with relevant employment legislation. The HRA reports directly to the Executive Director and collaborates closely with program managers and administrative staff.
Key Responsibilities
HR Administration and Operations
- Serve as the first point of contact for HR-related questions and policy interpretation
- Maintain accurate and confidential personnel files, leave requests, contracts, and HRIS data
- Coordinate payroll inputs such as timesheets, vacation tracking, and employment letters
- Assist with staff surveys, staff meetings, training logistics, and offboarding procedures
- Maintain benefit enrollment records and respond to basic staff inquiries about wellness or insurance coverage
Recruitment and Onboarding
- Post job openings and assist in screening resumes and scheduling interviews
- Support the development and standardization of job descriptions
- Prepare offer letters, employment agreements, and onboarding packages
- Facilitate smooth onboarding for new hires and ensure consistent orientation practices
- Help ensure inclusive language and equitable hiring practices in job ads and recruitment materials
Staff Engagement and Performance Support
- Track probationary periods, performance review timelines, and professional development activities
- Support coordination of workshops, check-ins, and employee recognition efforts
- Assist the ED with documenting informal concerns or resolution steps, while promoting a respectful workplace culture
- Maintain records for incident reports, internal feedback, and wellness initiatives
Equity and Inclusion Support
- Assist in planning and promoting DEIB (Diversity, Equity, Inclusion & Belonging) trainings and team events
- Maintain DEIB-related records and learning resources for staff
- Collaborate on efforts to embed inclusive practices throughout HR processes
Policy and Compliance Support
- Support the development and accessibility of internal policies, procedures, and staff handbooks
- Ensure up-to-date tracking of mandatory certifications (e.g., First Aid, WHMIS)
- Assist with audit preparations, WorkSafeBC requirements, and policy updates
- Distribute employment legislation updates, health & safety reminders, and workplace posters as required
Volunteer and Community Engagement (Administrative Support)
- Maintain volunteer files and assist program staff with onboarding documentation.
- Support tracking of volunteer training, milestones, and appreciation initiatives
- Help coordinate internal and community-facing HR events and activities.
Qualifications
Education and Experience
- Post-secondary education in Human Resources, Business Administration, or a related field
- 1–3 years of relevant HR, people operations, or administrative support experience
- Experience working in or with nonprofit, social services, or mission-driven organizations is an asset. Familiarity with supporting both unionized and non-unionized staff environments, in interpreting collective agreements and maintaining labour-management relations, is also beneficial.
Knowledge and Skills
- Foundational understanding of HR principles and employment legislation
- Strong organizational skills with excellent attention to detail
- Familiarity with labour laws and nonprofit compliance, such as FLSA/FMLA requirements, privacy legislation, equal employment and human rights regulations.
- Practical interpersonal and written communication skills, including confidentiality and discretion
- Demonstrated ability to manage multiple tasks and meet deadlines
- Proficiency in Microsoft Office (Word, Excel, Outlook); experience with HRIS or applicant tracking tools is an asset.

Working Conditions and Benefits
- Location: On-site at Chimo's main office in Richmond, BC, during regular business hours
- Schedule: Full-time (35 hours/week), with occasional flexibility for staff events or trainings
