Job Overview:
Genuvis Clinic is currently seeking a dedicated and professional Medical Office Assistant (MOA) to join our growing healthcare and aesthetics team in Northwest Calgary. The successful candidate will be responsible for delivering a high standard of client service while providing both administrative and limited clinical support to healthcare providers.
We are looking for an individual who demonstrates strong attention to detail, excellent communication, and a proactive approach to patient care and clinic operations. A minimum of 2–3 years of hands-on experience using EMR Accuro and the full Microsoft Office suite is required. The ideal candidate should also be well-versed in scheduling for specialist clinics and have prior experience in a medical and/or aesthetics setting.
Key Responsibilities:
- Escort patients to examination rooms, obtain vital signs, update the exam room display board, verify completion of required forms in patient files, and perform room turnover and sanitation
- Welcome clients upon arrival and deliver exceptional customer service consistent with the Genuvis experience
- Ensure all client interactions exceed expectations through a professional, compassionate, and patient-centered approach
- Perform front-desk administrative duties, including verifying patient demographics, managing referrals, processing payments, and maintaining strict confidentiality
- Manage patient scheduling, including booking, confirming, and rescheduling appointments for general and specialist services
- Handle incoming inquiries via phone, email, and clinic management software
- Support physicians and medical staff with administrative and limited clinical tasks, including room preparation, patient intake, documenting medical histories, and assisting during procedures as appropriate
- Assist with dermal aesthetics procedures by preparing treatment rooms, documenting visits, taking clinical photographs, adhering to safety protocols, and processing transactions
- Maintain a clean, organized, and professional reception area and common spaces
- Participate in ongoing training related to products, services, and customer service best practices
- Educate patients on available treatments and products offered by the clinic
- Perform additional duties as assigned by the clinic manager or leadership team
Qualifications:
- Medical Office Assistant certificate from an accredited institution (preferred)
- Minimum 2–3 years of relevant experience in a clinical or medical aesthetics setting
- Proficiency in EMR Accuro and Microsoft Office Suite (Word, Excel, Outlook, Teams) is required Jane App Experience is a good add-on.
- Strong familiarity with appointment scheduling in specialist clinics
- Excellent communication skills, both verbal and written
- Highly organized, detail-oriented, and dependable
- Strong time management and problem-solving abilities
- Ability to work independently and collaboratively in a fast-paced environment
- Flexible availability, including willingness to work evenings and weekends
- Positive attitude and a strong commitment to patient care and service excellence
