Primoris Canada is an infrastructure contractor serving major firms in the oil, gas, power, petrochemical, and heavy oil industries and include services covering tailings and hydro-transport pipeline construction and maintenance, storage tank construction and maintenance, industrial facilities multi-discipline construction and maintenance, piping fabrication, and pipeline integrity services.

SUMMARY

The Proposal Coordinator supports the estimating and pre-construction team by organizing, tracking, and assembling high-quality proposals. This role requires someone who is exceptionally reliable, highly organized, and able to coordinate information across multiple disciplines, deadlines, and stakeholders.

Location: Acheson, AB

Job Type: Full-time – Permanent

Schedule: Monday – Friday (7:30AM to 4:00PM)

Anticipated Start Date: ASAP

JOB DUTIES

  • Coordinate with estimators, project teams, and partners to gather required proposal content.
  • Maintain up-to-date libraries for project execution plans, org charts, resumes, and standard proposal material.
  • Track incoming RFQs/RFPs, download packages, verify completeness, and distribute to the internal team.
  • Serve as the primary point of contact for client communication throughout the proposal cycle.
  • Create and manage proposal schedules, key milestone dates, and internal check-ins.
  • Set up and facilitate kick-off meetings, progress reviews, and final approval meetings.
  • Review RFP requirements and ensure all instructions, forms, and deliverables are addressed.
  • Maintain SharePoint/FTP/Egnyte/Autodesk Construction Cloud folders and ensure documents are structured and accessible.
  • Manage RFI communication and maintain an accurate RFI log.
  • Support development of non-technical writing, formatting, and assembly of final proposal packages.
  • Perform technical editing for clarity, consistency, and compliance.
  • Compile and format all materials into final client-ready submissions.
  • Coordinate with Business Development to ensure timely delivery of final proposal files.
  • Take ownership of task tracking and follow-through—finishing commitments on or ahead of schedule.
  • Support process improvements and adopt automation tools where possible.
  • Complete additional duties as assigned to support pre-construction and estimating.

QUALIFICATIONS

  • Experience in construction, engineering, or industrial environment is preferred but not required. (preferably in roles involving coordination, documentation, or project support)
  • Solid understanding of proposal or tendering processes (or demonstrated ability to learn quickly).
  • Strong reliability consistently follows through on commitments without reminders.
  • Exceptional organizational skills; able to manage many moving parts without dropping details.
  • Strong communication skills, both written and verbal.
  • Proficient with Microsoft Office and able to quickly learn new tools.
  • Experience with Autodesk Construction Cloud is a strong asset.
  • Exposure to workflow automation, document automation, or data-driven tools is an advantage but not required.
