Executive Assistant to The Chief

As Executive Assistant to the Chief of Police, you will contribute to the effectiveness of the Chief of Police by providing a broad range of senior office management and administrative services, recognizing, and appropriately dealing with, confidential information, while representing the values and vision of the Chief and his office.
RESPONSIBILITIES
More specifically, as Executive Assistant to the Chief, you will:
Manage and prioritize the Chief's schedule to meet changing needs and issues as they arise; anticipate issues and proactively initiate appropriate action/prioritization to ensure the most effective use of the Chief's time, based upon information and requests received.
Review all correspondence for the Chief of Police, identify time-sensitive items impacting operations and initiate necessary action, as directed and/or as within the position's delegated responsibilities.
Liaise with, and handle requests for information directed to the Chief from, the Police Services Board, outside agencies, etc., and assign to the appropriate member within the police service for response; follow up and ensure that responses are submitted to the Chief on time.
Review all reports and correspondence prepared for the Chief and perform a quality control function to ensure they meet with the Chief’s expectations; return those requiring revisions/corrections, as necessary, and discuss and provide advice and guidance with respect to expectations and standards.
Maintain effective time management through controlling the access of people wishing to see, or speak to, the Chief; screen all incoming calls, determine importance/priority and provide assistance and/or redirect to the appropriate Unit; ensure issues of a confidential, sensitive nature are dealt with using required tact and discretion.
Provide direction to, and delegate, monitor and co-ordinate the work of, the Executive Assistants with respect to the status of correspondence, reports or other administrative details, as assigned.
Prepare presentations, reports and correspondence on behalf of Executive Administration; consult with stakeholders, as required.
Research material to assist in the preparation of reports; prepare agendas, attend, and record decisions of other business meetings, as required by the Chief.
Reconcile all Corporate and Purchasing cards for Executive Administration. Manage the Executive Administration budget, with signing authority for requisitions, time sheets, petty cash vouchers, etc. Monitor, identify and report deviations from planned funding level. Process and reconcile the office petty cash fund. Process financial documents and expense claims, as required.
Oversee the arrangement and co-ordination of all Executive travel, including sourcing and booking suitable transportation and accommodations, completing all required event registrations, and reconciling travel expenses, including per diem allowances.
QUALIFICATIONS
A post-secondary degree/diploma in public administration, political science, business administration or a related field, or an equivalent combination of education and experience.
A minimum of five (5) years’ office experience in a senior-level administrative function.
Demonstrated knowledge of the organizational structure, directives, goals, strategic plans and operational direction.
Excellent oral and written communication and interpersonal skills.
Strong organizational skills, with the ability to multi-task, adjust priorities and work in a fast-paced and demanding environment.
A high degree of initiative, critical thinking and problem-solving skills.
Demonstrated capacity to exercise tact, discretion and confidentiality in all matters, both internal and external to the Service.
Ability to work independently with limited supervision under strict time constraints.
**Ability to successfully complete the following tests**: MS Excel; Filing; Grammar; Math; MS Outlook; MS PowerPoint; Spelling; Vocabulary; MS Word; Written Assessment; and Speed & Accuracy Typing.
The salary range for this permanent, full-time position is $90,984 to $108,072 per annum and is complemented by a comprehensive benefit program, including employer-paid Health/Dental, Life Insurance and the OMERS Pension Plan. This position requires staff to be onsite in the office during their work schedules; working remotely is not available.
