About Us
Attuned Therapy + Wellness is a trauma-informed, heart-centered psychotherapy clinic supporting individuals and families navigating emotional challenges, life transitions, grief, identity work, and personal growth. We prioritize ethical care, deep listening, and grounded leadership.
We're looking for a part-time administrative assistant who can support the back-end operations of the practice while helping us stay organized, present, and focused on client care. This is a remote-friendly contractor role with light in-person duties.
What You'll Do
**Admin + Client Support**
- Support client onboarding onto Jane (sending forms, confirming intake steps)
- Matching clients to an appropriate therapist and supporting therapy team as necessary with admin duties
- Light scheduling assistance for reschedules, cancellations, and reminders
- Maintain privacy and confidentiality at all times maintaining PIPEDA compliance
**Office & Organizational Tasks**
- Light tidying of therapy space (wipe surfaces, restock tissues, organize materials, etc.)
- Water plants, refresh waiting room, monitor supply levels
- Organize physical files or materials as needed
- Maintain digital files, SOPs, and team Google Drive folders
**QuickBooks Bookkeeping Support**
- Upload receipts and organize expense records
- Categorize transactions in QuickBooks Online (access provided)
- Reconcile and summarize monthly reports (no tax filing or accounting responsibilities)
- Download Jane/Square income reports and organize for bookkeeping
**Creative & Launch Support**
- Format and upload social media content
- Organize and streamline processes
- Monthly meetings to develop marketing strategy

- Are within driving distance of Kincardine for light in-person tasks (1-2x/week)
Contract Details
- You are a self-employed contractor and will invoice monthly
- Flexible hours (asynchronous work + occasional check-ins)
- Must be based in Ontario for privacy and compliance
- You will access QuickBooks through our clinic’s account; you are not responsible for tax filings or financial advising
