Medical Office Assistant

The MOA is responsible for providing a professional and positive impact when dealing with patients and performs a variety of tasks as listed below. The MOA must be reliable, flexible, and work well under pressure while still producing a high quality of care in accordance with clinic standards.
Schedule: Hours of work are mainly daytime, Monday to Friday but may include evenings and/or weekends.
**Responsibilities**:
- Assist in managing phone system, answering phones, booking appointments, retrieving and uploading records, categorizing and electronically filing received facsimiles and mail;
- Prepare patient for appointments: Provide appointment-specific questionnaires for patient completion on tablets or paper and upload into EMR. Insert appropriate stamps/custom forms into the patient chart in preparation for the provider;
- Operate and maintain all medical and clerical equipment such as computers, telephone system, scanners, printers, tablets, etc.;
- Measure blood pressure, temperature, pulse, oxygen saturation, weight, and height on patients of all ages;
- Where appropriate, assist with simple tests and procedures such as Injections, Snellen tests, etc.;
- Perform/assist in specimen collection, urine dips, label specimens and requisitions, and coordinate laboratory pick-ups;
- Assist Provider with in-office examinations and retirement home visits where required;
- Manage wait room traffic, direct/escort patients to examination rooms, prepare rooms and patients for physicals, and procedures, chaperone sensitive exams, and tidy rooms after patient encounters;
- Assist in providing patients resources on health education, health promotion, and disease prevention;
- Assist in ensuring the care plan is understood by the patient;
- Assist in preventative, periodic, and patient-specific chronic disease, cancer, and age-related screening;
- Relays patient concerns and information to the appropriate member of the health care team;
- Cleans and stocks examining rooms and other designated areas with necessary supplies;
- Cleans sterilizes and maintains instruments and equipment as directed;
- Responsible for light housekeeping duties as required (eg: ensure washrooms are clean and stocked, emptying waste bins at end of day, periodic dusting of work areas, etc.);
- Other responsibilities as assigned by the Office Manager.
QUALIFICATIONS:
- Medical Office Assistant diploma and/or Personal Support Worker certificate;
- Fluent in English with excellent oral and written skills;
- Excellent understanding and regular use of medical terminology;
- Excellent skills on computer and quick to learn various technologies;
- Previous Practice Solutions (Telus PS Suite) EMR software experience is an asset;
- 1-2 years of experience in any health care setting is an asset;
- Valid Ontario Driver’s License, auto insurance, and Canadian Citizenship;
- Able to provide a clear Criminal Reference Check including Vulnerable Sector screening;
- Proof of current immunization against Covid 19 as well as proof of current immunization status in accordance with the Provincial Immunization Guides for Health Care Providers.
