**Purpose**:The role of the People & Culture Associate is to support the People & Culture team of MTR and the business groups within MTR to hire and source the required personnel, skills and competencies needed to fill the various resource gaps at different sites and functions. The role is part of the People & Culture function and will specifically focus on sourcing and hiring skill gaps at the right time based on the allocated budget. The role will also assist in other HR functions based on needs.

Report to: Sr. Generalist - People & Culture

Part Time: 24 hours per week

Position Responsibilities:
Recruitment / Sourcing:

- Prepare recruitment materials and post jobs to appropriate job boards, newspapers, colleges, etc
- Post jobs, research multiple job postings avenues
- Build partner relationships for universities, colleges, employment agencies, church groups etc
- Build and support the employee referral program

Interview Process Facilitation:

- Coordinate and schedule interviews with hiring managers
- Negotiate job offers and facilitate the hiring process
- Coordinate offer and hiring processes
- Develop and maintain strong working relationships with managers during the recruitment process
- Collaborate with hiring managers to understand position requirements and develop effective recruitment strategies

Hiring documentation:

- Collecting new hire documentation and ensuring all documents are submitted and collected before hire date.
- Processing of new hire documentation.
- Ensure all new hire documents are submitted to Payroll on a timely basis.
- Stay updated on industry trends and best practices in recruitment

Development of Job Descriptions & Hiring templates:

- Develop and update job descriptions and job specifications. Consult with hiring mangers and the People and Culture partners to ensure that developed Job descriptions closely match the requirements.
- Create interviews and assessment templates for roles and ensure interviews cover the required competencies for the role
- Perform job and task analysis to document job requirements and objectives

General administration:

- Manage employment verification requests, including responding to third-party inquiries and generating standard letters.
- Creation of employment proof letters for requesting staff & standardized letter requests

Other HR Projects as required:
Assist and work with other team members in the People & Culture team in ongoing projects, initiatives and research

Skills & knowledge needed:

- 2 year of HR or administrative experience, preferably in a fast-paced environment.
- Undergrad degree in Human resources preferred.
- Good recruitment experience and ability to manage hiring process
- Strong attention to detail and a high level of accuracy in working with information.
- Excellent organizational and time management skills; able to manage multiple priorities and deadlines.
- Proficiency in Microsoft Office, including Excel, Outlook, and Word.
- Experience of working with HR software and working in a Microsoft 365 environment.
- Discretion and professionalism when dealing with sensitive and confidential information.
- Strong communication skills and a customer-focused mindset.
- Ability to work independently and adapt in a fast-paced, dynamic environment.
