Job Overview:
As Care Team Coordinator, you are an integral part of our client support team and responsible for assisting them from booking appointments, invoicing, scheduling for our clinicians and managing multiple aspects of operational delivery for our entire clinic team. You are client service oriented, always up to find proactive ways to make our care delivery better and a team player. You thrive in a fast-paced environment, love details and enjoy ensuring that both clients and clinicians have the necessary information at all times. Your role is critical to a client’s care and the clinic’s success. You build relationships based on trust, curiosity, cheerfulness, proactive leadership and a commitment to client care at the clinic.

**Responsibilities**:

- Ensuring efficient and effective operational performance by working closely with the physicians/clinicians, clients and billing/financial support.
- Oversees daily operations of the clinic by engaging with other front line staff and client relations, and achieving operational goals.
- Problem solving and addressing issues raised by clients, staff and carrying out all established policies.
- Participate in Administration Meetings and provide status updates to Senior Care Team Coordinator for the week or month based on agreements
- Managing the flow of the patient communications to ensure compliance, efficiency, & client satisfaction with your entire care team
- Act as the clinic’s first point of contact for clients and process check-in according to protocol. e.g. validating health card, ensuring that required contract, custody form, etc. have been submitted (when in-person)
- Scan and upload documents as required with the other Care Team Coordinators
- Response to clients’ basic questions and needs with the other Care Team Coordinators
- pick up phone messages and return calls
- answer phone and respond to callers’ needs
- cancel and reschedule appointments
- Booking clients 17 years and younger
- Communicate with outside physicians, labs and other facilities for reports, results and/or referrals
- Book Allied Health appointments
- Other duties as assigned

Required Skill-Set:

- 1-2 years experience in a customer service and client facing role is needed
- Knowledge and curiosity about patient management systems is necessary. Knowledge of OSCAR/Indivica data management system an asset
- Completion of a Medical Secretary Course is an asset
- High School Diploma or equivalent Bachelor’s Degree in Business Administration, Health Care Management, or related field preferred
- Healthcare experience preferred
- Effective communication skills, both verbal and written
- Possess and maintains proficiency in computer software skills to include Microsoft Suite and Google Drive
- Effective problem-solving skills
- Ability to maintain confidentiality
- Ability to multi-task, set priorities and manage client concerns

**Job Types**: Full-time, Permanent

**Salary**: $33,280.00-$41,600.00 per year
