**Key Responsibilities**:

- Schedule and coordinate internal business meetings and planning sessions
- Document and distribute minutes and actions and update planning documents
- Support project scheduling and assist in the tracking of milestones, deliverables, and timelines
- Develop and implement tools and processes for task planning and tracking of task completion
- Assist in the development and implementation of project management processes and templates
- Provide project coordination for specific company-wide projects and improvement initiatives
- Assist with the preparation of proposals, tenders, and client-facing documents
- Coordinate and maintain up-to-date project documentation, including contracts, change orders, permits, RFIs, meeting minutes, and drawings
- Monitor and report on project progress, creating weekly and monthly status summaries
- Support interested parties and internal communications - assist in the preparation of staff and client presentations, project summaries, website updates, and internal communications
- Support compliance by assisting with inspections, document control, and safety protocols
- Maintain digital and hard copy filing systems Develop and implement a company newsletter
- Organize company business and social events
- Support general administrative duties within the department as required

**Qualifications and Skills**:

- 2+ years of experience in project administration, preferably in construction, environmental, or resource sectors
- Post-secondary education in business administration, project management, or a related discipline
- High proficiency with Microsoft Office Suite (Word, Excel, Powerpoint, Outlook, Teams, SharePoint)
- High proficiency with task management and collaboration platforms (e.g., ClickUp)
- Familiarity with project management software (e.g., MS Project, Smartsheet, or similar)
- Strong organizational and time management skills with attention to detail
- Excellent communication and interpersonal skills, both written and verbal
- Ability to handle sensitive information with discretion and professionalism
- Problem-solving mindset with a positive and proactive attitude
- Experience working in or with Indigenous organizations or communities is an asset

**Working Conditions**:

- Primarily desk-based role with extended periods of computer use
- Occasional lifting and movement of office or project files and supplies
- Periodic travel to project sites or partner offices may be required

- Dynamic, deadline-driven office environment with multiple simultaneous projects
- Occasional interaction with external contractors, community members, and clients
- Sustained focus on detailed project tracking and documentation
- Must manage interruptions while maintaining high attention to detail

**Travel**: Although this position is primarily office based, there may be a portion of time spent traveling.

**Working Hours**: 35-hour per week, overtime as required.

**Compensation**: $35-$40/h CAD; Plus, Extended Health Benefits & Pension Plan.
