**_The Opportunity_**
**_Essential Functions_**
**Resident Service**
- Maintaining excellent resident relations and respond to enquiries from existing residents, when they cannot be satisfied by front line staff
- Ensure all property services are delivered with the highest level of care, diligence, efficiency, and consistency to ensure the maximum experience for residents. Strive for low/reduced resident turnover.
- Organize and conduct semi-annual inspections of suites, meeting with residents prior to anniversary dates to address concerns
- Coordination of the move-in and move-out process, including required inspections (pre-vacate, vacate, and move-in inspections), elevator booking, etc.
- Ensuring the unit make-ready process is complete and the unit is ready for occupancy
- Further ensure resident satisfaction and service delivery through prompt service communication and follow up
- Enforce the rules, bylaws and regulations of the properties and condominium board
- Prepare all resident communications
**Operations**
- Oversee the day-to-day management of the luxury residential building
- Responsible for operating within an approved budget
- Take proper and timely action in collecting rental payments and undertake arrears collection
- Issuance of all legal documentation pertaining to non-payment of rent and/or further landlord/resident process
- Update leasing inventory and perform periodic key fob audits throughout the year
- Procure building and office supplies
- Verify and approve invoices and create purchase orders; working with Accounts Payable to ensure accuracy and compliance
- Work closely with Maintenance and Operations staff to ensure all physical components of sites are maintained to Company standards
- Perform regular inspections of buildings and grounds, ensuring cleanliness and adequate maintenance to meet/exceed Company standards and follow up as required
- Oversee/identify any areas of risk exposure and/or liability and take adequate steps to minimize risk
- Schedule, lead, supervise, and support the administrative and building operations teams with a collaborative approach to ensure team cohesion, effectiveness, engagement, and communication.
- Promote success within existing teams by providing continuous training/skill development opportunities and constructive feedback regarding performance
- Assist in recruiting, selecting, onboarding and training new on-site staff
- Contributing to the development and creation of Property Management processes and procedures
- Obtain direction from the Regional Property Manager and report back, as needed
**Health & Safety**
- Ensure compliance with all legislation, including but not limited to: The Residential Tenancies Act, Condominium Act, Labour Relations Act, Fire Code and Occupational Health and Safety Act
- Be familiar with and adhere to the company’s Health and Safety policy
- Ensure all vendors and contractors comply with the established health and safety policy, and immediately report any infractions, hazardous conditions, or damaged equipment
**_Who You Are_**
**Experience** - 3+ years of related experience with residential property management, combined with a strong service ethic commitment
**Relationship Skills** - Ability to communicate effectively and professionally, both oral and written with owners, residents, and Team Members; ability to develop and sustain cooperative working relationships; mature and self-motivated team player with good conflict-resolution skills; committed to personal growth and integrity aligned with the Company objectives; ability to exercise confidentiality
**Professionalism **- Maintain a professional and presentable appearance at all times
**Organizational/Multi-Task Skills** - Ability to allocate one’s time effectively and manage tight deadlines; ability to work under pressure and achieve quality results; ability to handle multiple demands and competing priorities and adapt to new ideas and constant changes
**Decision Making Skills** - Ability to resolve problems using facts and sound reasoning; ability to achieve goals using a strategic approach; proven innovation with a willingness to manage and adapt to change
**Computer Skills** - Intermediate skills in Microsoft Office: MS Word, Excel, and Outlook; knowledge of Yardi is an asset
**Availability **- Flexibility in hours to meet the demands of the business including being able to handle emergencies occurring after regular office hours
**Knowledge **- A complete understanding of all applicable laws, legislation, and rights concerning resident / landlord relations
**License** - Must have a valid driver’s license and access to a vehicle at all times during employment. Maintain, in good standing, licensing with the CMRAO
