**Office Support Specialist**
Tribe has an immediate opening for an Office Support Specialist [Full time, permanent] to join our team in our Downtown Vancouver office. This role is a great fit for someone who has a keen eye for details, loves deadlines and is always striving to go the extra mile.
**Responsibilities**:
Position Responsibilities:
The primary responsibilities of the Office Support Specialist position at Tribe are:
- Date stamp all incoming mail;
- Retrieve and sort mail, including packages, by department and category and delivers mail to correct department or recipient and forward misdirected mail;
- Prepare documents and other items for shipping; weigh mail and calculate correct postage;
- Mail sorting and postage meter machines and fill out mailing labels, including researching proper country codes for international mail and regional postal codes for domestic mail;
- Arrange pickup from postal service and other delivery vendors;
- Track packages and records arrival of mail;
- Maintain inventory of mailroom supplies;
- Scans all incoming invoices to beans and copy, collate and stuff all mailings that are required to go out (AGM’s SGM’s, General Correspondence);
- Participate in general office administrative duties, including, but not limited to, reception relief; automated payables scanning and verifying etc.;
- Demonstrate behaviors consistent with company mission, objectives, and operating standards;
- Develop and maintain a thorough understanding of the company’s systems; processes and procedures regarding its Office Support function;
- Maintain the appropriate level of technical skills to perform assigned duties, particularly within the Microsoft 365, Yardi Voyager, Condo Manager, Tribe Home, Zoho and mailing machine;
- Adhere to the company’s standard procedure for the organization and safe keeping of client records and information;
- Communicate training needs and request necessary resources to ensure that the tools and knowledge needed to perform the role effectively are in place.
