**EXECUTIVE ASSISTANT**
**Summary**
Assisting the Executive Vice President, Department Heads, and the Head Office in daily tasks. This is a full-time permanent role with the option for hybrid work.
You are highly organized and very detailed oriented with demonstrated expertise in administrative coordination. You find it easy to work independently and take the initiative where needed. You are also a collaborator and thrive working in a supportive team environment. You are excellent at prioritizing and managing multiple tasks and deliverables; you are good under stress, and you know how to ask for help when needed. You are tactful, emotionally intelligent, are eager to make a positive impact, have a passion to help others and crave meaningful work.
You can organize and manage calendars, prioritize and schedule meetings, track deadlines and flag important communication. You will ensure that the leadership team has relevant documents, information and communication for scheduled meetings and events. Acting as a buffer, you will manage incoming communication, redirect as required and ensure the Executive Director receives all pertinent information.
You have a knack for project management, planning events, and are experienced in managing within an organization that is constantly changing and evolving.
**Responsibilities**
- Recording Secretary: Prepare agenda, taking and transcribing minutes for Manager’s Meetings,
- Senior Management Meetings & Events: Coordinating meeting room, food orders, activities etc.
- Preparing expense account reports
- Managing travel schedules
- As required, preparing editing proofreading and finalizing correspondence, reports, statements and presentations for the Executive VP and leadership team
- Filing for Executive VP and leadership team
- Clerical, administrative work as required for entire leadership team
- Back-up for reception: Greeting visitors, Switchboard, taking messages
- Other tasks & duties as required by the Executive VP and Leadership team
- Manage business relationships with specific vendors
- Serve as liaison with head office on calendars; activities and projects as required.
- Other duties as assigned
**Requirements/Experience**
- Post secondary education in Office Administration
- 2-3 years of work experience as a Senior Administrative professional for a team or similar role
- Strong computer skills with a strong knowledge of Microsoft Word and Excel
- Outstanding organizational and time management skills
- Excellent verbal and written communication skills
- Event and Project Management skills
- Ability to work independently with a diverse and sometimes remote team
- High level of customer service orientation
