**Job purpose**
The Volunteer and Communications Coordinator is responsible for promoting volunteer opportunities throughout the community, onboarding volunteers, volunteer appreciation, helping with training and coordinating volunteer shifts with staff. They will also work with the Development Manager representing The Sharing Place at community events, organizing and giving tours, managing our social media channels, and other marketing and communication tasks.
**Volunteer coordination**:
- Communicates with other departments at The Sharing Place to identify available opportunities and needs for volunteers
- Promotes volunteer opportunities throughout the community and recruits volunteers to fit the open roles using a variety of resources and techniques
- Gathers information about each applicant’s skills, availability and goals; matches volunteers with appropriate roles based on this data.
- Onboards volunteers, assigns them to appropriate department/supervisor, and manages weekly volunteer schedule to minimize gaps/absences.
- Maintains volunteer database and all files, records, and other data concerning volunteer program.
- Drafts, maintains, and publishes guidelines, best practices and procedures for volunteer program.
- Coordinates and runs volunteer recognition and appreciation events and activities.
- Special project: assess and implement a software solution to improve efficiency around volunteer scheduling and communication
**Communications coordination**:
- Create a monthly content calendar for our social media accounts
- Design and source engaging graphics, photos, videos and content for our social media accounts
- Monitor user reach and engagement, suggest content optimization, and actively engage with our followers.
- Attend events and promote our organization and the work we do
- Update newsletter and various other marketing and communications content
- Organize and give community tours of The Sharing Place
- Coordinate ad hoc volunteer opportunities and workshops for visiting organizations and student groups
There will be tasks required that fall outside of the traditional job description. We are a small team at The Sharing Place and at times we need help in areas that may not directly relate to your role. We expect that all team members understand that when working with a small not-for-profit company we may need to contribute to different departments when needed.
**Qualification**
- Post-secondary education in marketing and communications, social work or a related field. If you do not have a post-secondary education but have the right experience, we would be happy to interview you.
- Minimum 2 years’ professional work experience in an office setting
- ‘People person’ with ability to lead, motivate, and encourage others
- You must be organized and detail-oriented
- Excellent verbal and written communication skills
- Experience with Microsoft office suite of products
- Experience with Meta Business Suite and understanding of social media metrics including reach, content interactions, engagement
- Experience in Canva or similar program an asset
- Passion for technology and excellent understanding of the cloud-based world
- You must have a clean Criminal Reference Check and Vulnerable Sector Check
- Class G driver's license and access to a vehicle to attend events
**Job Details**
Hours: 40 Hour work week with occasional evening and weekend work based on different events throughout the community. You will need to be flexible with your schedule to allow for timing of different events.
